The Sales & Events Coordinator position is responsible for organizing and detailing sleeping room groups, meetings and social events while maintaining the highest level of guest and client satisfaction. This position will report to and work closely with the Sales Manager to assist in creating client proposals, conduct site tours and work onsite events when needed. 

Essential Duties and Responsibilities 

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Sales & Events Coordinator is a sales role focusing on the development of contracted groups and events. 
  • Simultaneously manage multiple large and small scale events and room blocks in different stages of their planning
  • Creates professional relationships with new clients. As the main hotel contact, the Sales & Events Coordinator should always make a good first impression with a professional but Jupiter inspired attitude. 
  • Collects detailed information pertaining to the group or event in a timely manner. 
  • Sets up client walk-throughs, in person or via video call (i.e. Google Meet or Zoom), to go over event details.
  • Creates and distributes group resumes which should be completed no later than 2 weeks prior to group arrival. 
  • Works closely with the Event Host and assists as the onsite hotel contact when needed. 
  • Settles client billing and sends invoicing in a timely manner. 
  • Attends industry networking events when needed.
  • Follows up on assigned leads within 24 hours of receipt in an effort to create new business for the hotel.
  • Maintains well-documented, accurate, organized and up-to-date information in our CRM to serve clients and the hotel in the most expedient, organized and knowledgeable manner.
  • Ability to quickly learn software systems necessary to the successful planning, execution and management of group and event business,
  • Develops strong customer relationships through frequent communication and the use of professional, courteous and ethical interpersonal interaction.
  • Promptly follows-up on all customer needs and inquiries in an efficient and expedient manner.
  • Exhibits a positive and involved team attitude to all hotel departments and maintains open communications with all co-workers for the best overall performance of the hotel.
  • Ensure groups and events have proper insurance and permitting from the OLCC and Fire Marshall
  • Displays a neat, clean, and approachable-like appearance at all times.
  • Think outside the box and make sound business decisions.
  • Respond to coaching, feedback and training.
  • Strong and effective sales skills.
  • Potential to earn bonus as quarterly goals are met.
  • Assist sales team when needed.
  • Be familiar with Jupiter Hotel information and communication network.

Qualification Requirements

To perform this job successfully, an individual must be able to perform each essential duty. The requirements listed below are representative of the knowledge, skill, and/or ability required. 

  • Must have a positive, team oriented attitude. 
  • Must be service oriented.
  • Must be detail oriented with ability to set and meet high customer service standards.
  • Must use proper etiquette while conversing with guests.
  • Must have a detailed knowledge of the Jupiter Hotel and lower Burnside neighborhood. 
  • Must have strong computer skills.
  • Must be flexible to work mornings, evenings, weekends and holidays.

Education and/or Experience

  • Minimum 1 year experience in event planning and coordination.
  • Experience with hotel sales preferred.
  • Experience with hotel operations preferred.

  • Must be able to lift up to 50 lbs.
  • Must be flexible and capable of bending, twisting and kneeling.
  • Must be able to work on feet, stand and walk for up to 8 hours at a time.
  • Must be able to keep up with pace of department/position demands.
  • Must be able to work for extended periods of time.
