Justice Necessary is Hiring an Executive Administrative Assistant Near Denver, CO

Position Title: Executive Assistant

Organization:Justice Necessary

Location: Denver Metro and outlying Colorado communities

Reports To: President Justice Necessary

Position Overview: We are seeking a highly organized and motivated Executive Administrative Assistant to support the President and our team to provide comprehensive administrative support, ensuring smooth and efficient operations. The Executive Administrative Assistant requires excellent communication skills, attention to detail, and the ability to manage multiple tasks with discretion and professionalism.

Key Responsibilities:

  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle confidential information with discretion.
  • Maintain and organize files, records, and databases in accordance with organizational policies.
  • Assist with special projects and initiatives as assigned by the Executive Director or senior management team.
  • Provide administrative support to other staff members as needed.

Meeting Coordination:

  • Organize and coordinate meetings, including scheduling, agenda preparation, and distribution of materials.
  • Attend creative and media meetings.
  • Attend and assist in some of the key stakeholder meetings to assist the Executive Director with meeting, taking minutes, follow-up, on action items and ensuring loops are closed.

Logistics:

  • Coordinate hygiene product deliveries.
  • Assist with coordination of various items for volunteer events.
  • Prepare and process expense reports in a timely manner.

Communication:

  • Serve as the primary point of contact between the executives and internal/external stakeholders, including consultants, partners, and vendors.

Project Management:

  • Assist with special projects, research, and reports as needed.

Event Planning:

  • Assist with planning and execution of events, fundraisers, and other organizational activities.
  • Coordinate logistics, catering, and guest arrangements.

Future Responsibilities:

  • Coordinate and prepare materials for board meetings, including agendas, presentations, and minutes.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Proven experience as an executive administrative assistant or in a similar role.
  • Proficiency in Google, Asana, Slack, CRM, and Microsoft Office Suite (Word, Excel, and powerpoint)
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to work independently and as part of a team.
  • High level of professionalism and confidentiality.
  • Familiarity with office management procedures and basic accounting principles.
  • Knowledge of industry-specific terminology and practices.
  • Ability to anticipate needs and provide proactive support.
