Position Summary:

The Programs and Outreach Administrator (POA) provides administrative support to the Outreach and Programs Team as well as the Chief Program Officer. The POA is responsible for managing the general inquiries and applications for KABOOM! programs, providing excellent internal and external customer service. The POA maintains a thorough understanding of all of KABOOM!’s community playspace programs, including each program’s goals, strategies, and funding criteria and communicates these specifics with external stakeholders. The POA is an expert user and administrator of KABOOM!’s application database in Salesforce; is responsible for maintaining, improving, and optimizing the application and inquiry system. The POA conducts research and external outreach to prospective community partner applicants, providing support to applicants in the initial application stages. Additionally, the POA provides administrative support to the KABOOM! Programs team and Chief Program Officer.

Duties and Responsibilities:

Customer Service, Outreach and Application Management:

  • Provide timely and thorough responses to inquiries about KABOOM! programs. Methods of communication include phone calls and emails, and all activity is recorded and tracked in Salesforce.
  • Pursue applications from community organizations for KABOOM! community playspace opportunities that meet KABOOM! and Funding Partner criteria, through internet research and networking; promote program opportunities through referrals of established relationships, cold calls and cold outreach emails.
  • Assist community playspace applicants with navigating the application process by answering questions, either via email and/or phone calls.
  • Review, assess and process all applications to determine viability and alignment with funding opportunities.
  • Work closely with the Community Outreach Managers to ensure applications are assigned to appropriate team members and the application pipeline stays current.
  • Maintain qualification data – such as median household income and race/ethnicity data – using tools such as mySidewalk and GreatSchools, and support leadership in maintaining qualification metrics to ensure accuracy in application processing Hybrid and must live in the Washington, DC area and strategic planning.
  • Identify opportunities for improved efficiency and customer experience in the application process, including ongoing review of the KABOOM! website’s application page.

General Duties:

  • Create and share regular reports and dashboards on Programs Department work and goals, such as responsive playground projects, community partner and funding pipelines, kids-impacted, to ensure accuracy of records and quality assurance.
  • Support the Program’s team usage of Monday.com, updating the system and training staff where applicable.
  • Support the scheduling of meetings, specifically new hire on-boarding.
  • Train internal staff on application system and inquiry system in Salesforce; create and maintain training documentation to enable any user to be fully capable of utilizing the Salesforce system to process an application or inquiry.
  • Serve as the primary point of contact to the IT team in trouble-shooting issues with the application process (either from the external user perspective and/or the internal KABOOM! process).
  • Maintain and update external collateral and tools for potential community partners.
  • Provide administrative support to the Chief Program Officer.

Education and Experience Required:

  • Minimum of two years of experience in professional experience, ideally in programmatic support or in customer service, such as community outreach, client services or a similar field.
  • Well-organized, detail-oriented, and able to effectively manage and prioritize multiple tasks with varying deadlines.
  • Excellent written and oral communication skills with strong attention to detail.
  • Self-motivated and able to recognize opportunities for process improvement, and communicate solutions to leadership.
  • Proficient in the Microsoft Office suite (Word, Excel, PowerPoint, etc.).
  • Proficient in database management; knowledge of Salesforce is desired but not required.
  • Understands the importance of quantitative data points for decision making; familiarity with data sources such as mySidewalk is helpful but not required.

Essential Job Functions:

Ability to maintain acceptable standards of conduct and work cooperatively as an effective team member of a diverse and inclusive workforce. Communicates with others, sits or moves about the office to coordinate work, and uses a computer as well as other office equipment as needed. In addition, must be able to travel independently, leading events with extended hours of moving about in various weather conditions and in some circumstances, able to lift or move objects unassisted up to 30 pounds with the ability to operate basic hand tools.
