Senior Accounts Payable Specialist - Kalmar USA, Inc. (Ottawa, KS)

Salary: Up to $55,000.00 per year (eligible for annual bonus)

Making your next move count

Purpose of Position:

To deliver Invoice To Pay (ITP) services in line with customers’ needs and expectations

Main tasks and responsibilities:

  • Perform transactional activity without supervision related to the Invoice to pay area
  • Perform transactional activity related to the Payments area

* Execute Daily tasks as per the agreed schedules for Payments file

* Verifying details in file payment, confirming payment file, Sending, Release payment file

* Booking and Reconcile bank statement with Cash flow,

* Posting manually bank statements

* Make manual payments according to Diary of payments and bank cut off time

* Execute all activities as per the bank cut off time and agreed KPIs

* Automated bank statement upload confirmations, Handling queries received in mailbox

* Recognize unusual events or consistent problems and work with team leader to resolve

  • Perform month end activities related to ITP and Payment area
  • Support the vendor master data set up and documentation validation (W-9 and W-8 forms)
  • Responsible for resolving queries from customers, vendors and colleagues
  • Active member of the ITP and Payment area
  • Maintain good working relationships within the other process teams
  • Deliver service in line with agreed controls and procedures
  • Specialist providing assistance on ITP and Payment related inquiries, acting as an employee’s first line of contact via appropriate channels (tickets, chat, calls, etc.).
  • Act as 1st line of contact with organization via calls, chat e.g. document and follow up all employee inquiries, issues and transactions
  • Initiatives on process improvements: Suggest methods to update, simplify, and enhance processes, procedures and technologies
  • Support Solution Owners and Process Owners in continuous improvement and implementation of programs, policies, and procedures of the KFSSC
  • Recognize unusual events or consistent problems and work with team leader to resolve issues
  • Ensure customers are satisfied to maintain a positive brand image for the KFSSC and Kalmar
  • Ensure all documentation is up-to-date and accurate
  • Ensure data is accurate in company systems
  • Training and support of less experienced employees
  • Participate in project activities when applicable

* Support the functional work stream

  • Any other tasks assigned by the line manager related to the areas of accountability
  • All work needs to be conducted in compliance with Global Company guidelines, code of conduct, policies, procedures, controls and legal requirements

What you’ll need to succeed

Education:

  • Minimum BA degree in finance or business or min. 4 years of relevant business experience and financial accounting skills

Experience:

  • 1 to 3 years of experience in ITP area
  • 1 to 3 years of experience with simple to complex Payments query handling

Competencies:

  • Experience with simple to complex query handling
  • Strong customer service focus and interpersonal skills
  • Strong analytical, problem solving, organizational and communication skills
  • Hands-on experience working with ERP/Cloud system preferred
  • Google Workspace: Sheets, Slides, Docs or alternatively Microsoft Office (Outlook, Excel, Word, PPT)
  • Taking initiative in a proactive manner to improve own and team work practices
  • Good at communicating in a professional manner
  • Display a strong work ethic and ability to comply with internal controls and policies
