KALSEE Credit Union is Hiring an Executive Administrative Assistant Near Portage, MI

Description

Position Summary: Provide confidential and professional administrative and clerical support to the CEO and Executive Management Team. Prepare a wide variety of reports and correspondence. Maintain various executive files. Provide front line support to guests and visitors. 

Duties/Responsibilities: 

  • Assist the CEO and executive team with their respective administrative duties (i.e. monthly reporting, coordination of meetings and events, ordering food for events, etc.), supporting and empowering them to focus on key strategic priorities.
  • Responsible for organizing monthly board meetings. Gather monthly board meeting materials. Prepare and distribute monthly board packets. Take meeting minutes at monthly board meetings. Set up room. Order and set up meals. Clean up. 
  • Manage the supply budget and ordering of all office supplies.
  • Distribute monthly corporate credit card statements.
  • Coordinate facilities maintenance requests.
  • Manage and serve various third-party vendor relationships. 
  • Notarize executive and member documentation.
  • Manage the donations budget. Organize, process, and respond to community requests.
  • Coordinate the Annual and Organizational Meetings.
  • Coordinate the annual Board Planning Session.
  • Order business cards, brochures, and other printed materials.
  • Assist in the scheduling and arrangement of appointments, meetings, conferences, flights, meals, and other activities for the executive team.
  • Update the Employee Directory monthly.
  • Maintain control over necessary corporate records for examination by authorized individuals.
  • Greet each member, visitor, or employee with a smile and display KALSEE’s Values always.
  • Receive and announce visitors and guests to the executive team.
  • Perform specialized and confidential administrative duties.
  • Available for non-traditional work hours (i.e., board meetings, planning session, etc.) 
  • Support KALSEE’s focus on member service and sales.
  • Promote and maintain a confidential environment to protect members, staff, and KALSEE information.
  • Follow all KALSEE policies, procedures, work rules, and requirements, in addition to all applicable state, federal, and local laws/regulations.
  • Create and promote a positive professional image of oneself and KALSEE.
  • Perform all other duties as assigned.

Requirements

  • High school diploma, or equivalent, required; college degree preferred. 
  • Minimum 2 years of related experience working in a professional/office environment.
  • Strong computer and application skills.
  • Proficient using Microsoft office products (Outlook, Word, Excel, and PowerPoint).
  • Excellent verbal and written communication skills.
  • Ability to successfully organize, prioritize, and manage multiple responsibilities.
  • Occasional varying work schedules and offsite travel may be required to support business needs.
  • Team player with a positive attitude and flexibility.
