Join the team at the Kansas Health Institute (KHI) as an Administrative Assistant and contribute to our mission of improving the health of all Kansans through nonpartisan research, education and engagement that support effective policymaking.
The Administrative Assistant position serves on the Strategic Communication and Engagement (SCE) team within KHI. Responsibilities include front desk general support (e.g., answering phones, responding to general inquiries, utilizing a customer service tracking system, opening and closing facilities), along with communication- and event-specific responsibilities. This position may involve the handling of confidential information, and the maintenance of confidentiality is a requirement.
Duties:
1. Assist the Director of Strategic Communication and Engagement with communication projects.
2. Coordinate appointments/meetings.
3. Maintain and manage various contact lists.
4. Assist with KHI events, including documents, room set up, guest greeting and needs, catering coordination.
5. Reconcile receipts and the SCE credit card, obtain necessary purchase approvals and submit budget reports.
6. Manage subscriptions, memberships and award submissions.
7. Assist the Digital Communications Specialist with maintaining content on the intranet.
8. General front desk responsibilities, including answering phones, managing a customer service tracking system, opening and closing the office, ensuring clean spaces that are ready for guests and staff to use.
9. Promoting safety and security of staff and guests by following protocols, such as log-in sheets.
10. Assist with supply inventories and ordering.
11. Assist with post-event surveys, organizing and distributing the data.
12. Work closely with KHI Administration to ensure facility maintenance.
Work Environment: Work is performed in the office, Monday through Friday, 8 a.m to 5 p.m., with a one-hour break. Resources include a laptop computer, printer/copier, and multi-line phone. Attention may be required for multiple projects or assignments per day.

Education/Experience:
High school diploma or equivalent. Some college or other related continuing education preferred. Minimum of three years’ practical experience working as an administrative assistant or other office support role. An associate or bachelor’s degree in a related field or the completion of relevant courses at the college, university or business school level may be substituted for up to two years of experience. KHI is also open to hiring a recent college graduate with an interest in journalism or communications-related fields.
Compensation will be commensurate with experience and qualifications, with an anticipated hourly rate at hire of $20.75 to $24 per hour.
