Job Description Finance and Advancement Administrative Services
Department: Vice President of Administrative Services
Classification: Full Time Non Union Support Staff, Non-exempt, minimum of 40 hours per week Employment Status/Regular, full-time, 12 month
Funding Source: Institutional Funding
Function:
Provides coordination, technical assistance, and database administration for the finance administrators of the college and the advancement functions of the foundation. Performs administrative and office management functions for the Vice President of Administrative Services, Controller, and Executive Director of Development positions.
Organizational Relationship:
The Finance and Advancement Administrative Assistant reports to the Vice President of Administrative Services. The Vice President of Administrative Services reports to the President of the College.
Required:
1. Associate Degree in an appropriate field.
2. High level of integrity and ability to handle confidential information.
3. Meticulous attention to detail and ability to perform tasks with accuracy and efficiency in mind.
4. Good organizational and time-management skills.
5. Experience working on multiple projects simultaneously with minimal supervision.
6. Willingness to work in a fast-paced work environment and one dealing with many complex and sensitive issues.
7. Excellent oral and written communication skills and interpersonal skills to interact with donors, board members, vendors, government officials, and staff.
8. Strong experience with Microsoft Office, and specialized applications for word processing, spreadsheets, relational databases, and assembling, manipulating and/or formatting data and/or reports.
Preferred:
1. Database/CRM experience.
Essential Functions:
1. Assist in gift processing, data entry and general record maintenance for the CRM.
2. Help maintain regular data hygiene projects including updated constituency biographical and employment information.
3. Create and maintain reports for monthly and annual fundraising reports, mailing lists for solicitations, and other communications.
4. Assist in processing adjustments and corrections to donor giving history.
5. Manage methods for ensuring accuracy, sufficiency and integrity of constituent and gift data.
6. Assist in conducting donor research.
7. Support foundation activities and special events as needed.
8. Provide administrative support for college and foundation executive meetings and events including minutes, drafts and preparation of correspondence, venue scheduling, purchase requests, etc.
9. Assists in the preparation of reports for the Kaskaskia College Board of Trustees and the Kaskaskia College Foundation Board of Directors.
10. Provide administrative support for the business office, data entry, running reports and special projects.
Other Functions:

Supervisory Responsibility:
Position may supervise student workers.
Supervisory Controls:
Employee is expected to work independently, using independent judgment and with a minimum amount of supervision on daily duties.
Guidelines:
Employee will follow all college and foundation policies and procedures as well as all local, state, and federal laws.
Personal Relationships:
Frequent contact with donors, staff, and foundation Directors.
Physical Demands and Work Environment:
Work will typically be performed in a normal office environment with distractions and interruptions. Must be able to travel to college or foundation events, meetings, etc. within the district.
