Please note that this job requires you to be in-person at our Portland, Oregon office full-time (Monday through Friday from 8:30 am-5 pm).

Our law firm is expanding and needs the help of an Intake Specialist to take client relations to the next level and manage our growing caseload. Our in-office Intake Specialist will be responsible for triaging the needs of potential and current clients and offering a variety of tools to help them move forward with our team. 

Our Intake Specialist will input lead information into Clio, our CRM system, and prepare the information for the team.

Compensation:

$16 - $22 hourly

Responsibilities:
  • Set appointments for potential clients that meet our criteria to keep our lawyers’ schedules organized and grow our caseload
  • Evaluate prospective client inquiries and phone calls, analyzing their case fit and making sure they feel seen and heard
  • Collect paperwork and enter data into our case management system to ensure a smooth onboarding for new clients and tidy management of case files
  • Take charge of various office tasks such as email correspondence, document management, data organization, and research to make sure our firm is running at peak efficiency
  • Use our intake scripts to learn about prospective clients and their current needs; ask questions, confirm ideal client; identify their most important goals; offer solutions to help the person move forward
  • Triage current client needs and determine who they need to schedule with or route to the appropriate member of the team
  • Organize leads and follow-up activities or follow-up correspondence to ensure each potential client stays nurtured and tracked
  • Make recommendations as appropriate from our referral list and keep the referral list active.
  • Provide bi-monthly reports on actions taken, feedback received and suggestions on how to improve our services 
  • Assist with policies, procedures and systems in the business
  • Contribute to intake processes manual
Qualifications:
  • Possesses outstanding communication skills and sense of empathy
  • Sales or customer service experience highly valued
  • Familiarity with case management and CRM systems a bonus
  • Strong computer and data entry skills
  • High school diploma or equivalent required; Bachelor’s degree preferred
  • Good teamwork skills
  • Confidence and clear communication skills are highly valued
  • Ability to prioritize tasks and adhere to deadlines in an evolving environment
