Part-Time Position working afternoons at our Exec Suites Lakewood location at 6151 Lake Osprey Drive, Suite 300. Under general supervision operates a multi-line telephone console, gives routine information to the public, greets tenants, customers, and visitors, performs clerical work, provides information and support to center management, and other related activities. This part-time position will generally work the afternoon shift (1 - 5:30pm), Monday through Friday. BUSINESS CONTRIBUTION: Part-Time Receptionists are responsible for providing integrated and reliable support. Part-Time Receptionists accomplish this through:
Interacting with the public and our tenants in a professional manner and maintain a neat appearance.
Detail oriented with the ability to manage and prioritize multiple tasks and deadlines through frequent interruptions.
Ability to handle customer service situations reliably and dependably.
Must be comfortable with state-of-the-art technology.
ESSENTIAL FUNCTIONS:
Receive calls and give information to callers, screen and route call per tenant instructions.
Maintain confidentiality of tenant and company information.
Greet visitors, staff, tenants, and others in a professional manner. Announce, direct, and assist clients and visitors to appropriate areas.
Receive, sort and route mail and courier deliveries for tenants and virtual offices. Notify tenants and virtual offices of package deliveries.
Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes.
Responsible for all meeting reservations and updating the reservation tracker, monitor and follow-up on all reservations and cancellations, tracking hours and extra incidental charges.
Submit confirmations, cancellations, and changes made to any reservations to the appropriate parties.
Create and print fax cover sheets, memos, correspondence, reports and other documents when necessary.
Send mail through Stamps.com and record postal transactions.
Maintain records for billing reports for all incoming and outgoing faxes, scans, copies, postage, meeting room usage and any administrative charges made by tenants or clients.
Assist the center manager and perform clerical duties as assigned.
Order, receive and maintain office supplies.
Ensure that reception area, kitchen and meeting rooms are clean and organized.
Morning and afternoon walk-throughs of common areas each day and ensure that conference rooms are secured each night.
