Kelley Kronenberg is hiring an Office Clerk to join the Orlando office! This office is fast-paced, technology savvy, and team-oriented. Summary/Objective

The Office Clerk will greet, assist, and provide directions and information to clients, visitors, and other guests of the firm. One of the most important roles the Office Clerk plays is operating the phone system, and responding to and routing all incoming calls to the law office. The Office Clerk should provide efficient, organized, and friendly administrative support and customer service to clients and internal staff. This position requires a positive and resourceful attitude in the workplace with strong customer focused communication. The Office Clerk will organize files according to an efficient filing system and digitize all important documents.

Essential Functions/Responsibilities

  1. Greet clients, visitors, and guests; determines the purpose of each persons visit and directs or escorts him or her to the appropriate location.
  2. Answer visitors questions, calls, and emails, and provide them with the relevant firm information.
  3. Answer and route incoming calls on the phone system in a professional and friendly manner.
  4. Serves as Receptionist and maintains the reception area, conference rooms, and all common areas in a clean and organized manner.
  5. Help maintain and follow workplace safety and security by following proper protocols and procedures.
  6. Receive mail, documents, packages, and courier deliveries and distribute accordingly.
  7. Log, scan, and process all incoming mail including documents, checks, etc.
  8. Manage the office e-fax inbox and route all faxes accordingly.
  9. Manage the booking and use of office conference rooms.
  10. Assemble and drop off outgoing mail and packages, including subpoena packets, hearing binders, trial document, etc.
  11. Process records/documents received through CDS, thumb drives, share files, and create copies as requested.
  12. Assist with trial preparation, assembling trial binders as requested.
  13. Maintain and keep record of office inventory for supply rooms, common areas, snacks, and kitchen.
  14. Assist with office, firm, and team initiatives such as events, breakfasts, celebrations, etc.
  15. Perform administrative and clerical support tasks as requested. (printing, scanning, copying, mailing, etc.)
  16. Assist with the execution of Office Services team initiatives and projects.
  17. Assist with new hire setup and termination tasks, as needed.
  18. Assist with office operation tasks as requested under direction of Office Operations Manager.
  19. Travel to North Regional offices and ensure they are running smoothly and effectively, and assist with any administrative tasks, as needed.

Skills and Competencies

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office Suite or related software.

Position Type/Expected Hours of Work

  • This is a full-time position.
  • Standard days and hours of work are Monday through Friday 8:15am EST to 5:15pm EST.
  • The position may require the ability to work overtime when the need arises.

Required Education and Experience

  1. High school diploma or equivalent required.
  2. 3 years of training or equivalent experience.
