Kentucky to the World, Inc. is Hiring an Administrative Coordinator Near Louisville, KY

Job Overview:
Kentucky to the World, a non-profit organization based in Louisville, KY, is seeking a highly organized part-time Administrative Coordinator. Our mission is to elevate the cultural and intellectual reputation of the Commonwealth on the global stage. The Administrative Coordinator will be responsible for managing the day-to-day administrative functions of Kentucky to the World (KTW). The person in this position will balance a variety of responsibilities; therefore, a high degree of flexibility, a professional attitude, significant initiative, and attention to detail are required.

Work on contract primarily from home office, approximately 16-20 hours per week, with in-person requirements as needed for work with the CEO, quarterly board meetings, and 3 to 6 live events/year; some travel. Compensation based on qualifications and previous work experience. KTW will provide a 1099 to the contractor and the contractor will pay his/her own taxes and insurance. Reports to the President/CEO.

  • Proficiency in MS Office (Word, Excel, PowerPoint) and able to work with advanced features such as document templates and mail merge required.
  • Proficient using Google Drive as a file management and team collaboration tool required.
  • Experience with donor management software such as Little Green Light required.
  • Experience with digital publishing platforms such as EventBrite, Mailchimp, Squarespace preferred.
  • Must have reliable PC or Mac computer equipment that can support the software that we will provide to perform job responsibilities and duties.
  • Self-starter who can work both independently and under direction.
  • A resourceful, punctual team player with excellent organizational and multitasking abilities. Experience in a law office is a plus.
  • An analytical mind with problem-solving and decision-making skills.
  • BS/BA in Business Administration or related field or equivalent preferred.

JOB DUTIES

Business Communication

  • Initiate and schedule in-person meetings or meetings via Zoom, and use Doodle as needed.
  • Lead and/or participate in meetings (virtual and in person), take meeting notes as needed.
  • Produce materials and send out notices for Board meetings.
  • Produce and process business correspondence as requested, such as invoices and donor correspondence.
  • Work with the Business Manager to coordinate all record keeping.
  • Prepare and proofread other business documents as needed.

Donor Fundraising

  • Maintain an existing donor database, to include adding new and updating existing donor profiles, other contacts, and all donations.
  • Export various lists from the database as requested.
  • Produce fundraising packets, including preparing, printing, and processing mass letter campaigns.
  • Print and process development letters and thank you letters as donations come in.

Event Planning

  • Develop a PR and marketing timeline for each live event to avoid community schedule conflicts.
  • Set up and oversee event details in online media such as EventBrite for ticket sales.
  • Oversee event logistics, including but not limited to: manage event setup and volunteers, order signage, communicate with venue staff, such as Kentucky Performing Arts re: needs and layouts.
  • Coordinate publishing of event information published in printed media.
  • Communicate with event sponsors such as Republic Bank Foundation re: promotion via their internal channels.
  • Coordinate with the venue regarding ticketing (student, comp, consignment, and donors) and track overall ticket sales.
  • Email Board, sponsors, and community partners about tickets for events and manage their seating.

Website Content & Campaigns

  • Proofread website content for accuracy and update as needed.
  • Work with team members on both graphic design and website updates; communicate and collaborate as needed to accomplish the goals for each initiative.
