Responsibilities:
 JOB SUMMARY 

The overall objective and purpose of the Executive Administrative Assistant position is to provide support to one or more Executives, with a focus on projects related to Kessler Investments. The incumbent is responsible for developing strong communication and relationships internally and externally in support of the Kessler Collection. This includes proactively communicating, solving problems, and protecting the integrity of all parties.

 CORE RESPONSIBILITIES 

Primary duties, responsibilities, and tasks include, but are not limited to the following:

  • Manage travel arrangements, including booking flights, accommodations, transportation, and itineraries.
  • Manage calendars, emails, and phone calls for one or more Executives.
  • Schedule and organize phone calls, meetings, and appointments.
  • Thoroughly review, edit, and comment on contracts and relevant documents to ensure favorable terms and compliance with company policies and legal requirements.
  • Oversee aspects of accounting responsibilities for Kessler Investments including Kessler Diva and Kessler Charters.
    • Maintain and update financial records ensuring accuracy and compliance.
    • Assist in the preparation of financial statements such as profit and loss reports for current businesses and future projects.
    • Manage monthly expense tracking and reporting including expense management for executives as well as Kessler Investments.
    • Assist with managing the accounts payable and receivable processes.
  • Create, edit, and revise presentations and presentation materials for meetings related, but not limited to Real Estate, Kessler Charters, Kessler Diva, Brand Marketing, and Public Relations.
  • Partner with Executives to understand project deadlines and ensure communication surrounding key dates and deadlines, tracking action items.
  • Run, edit, and analyze reports providing data to executives to inform decision making.
  • Assist with additional projects as needed.
Qualifications:
 KNOWLEDGE, SKILLS, AND ABILITIES 
  • Strong written, verbal, and interpersonal communication skills.
  • Comprehensive knowledge of Microsoft Office software including, but not limited to Word, Excel, PowerPoint and Outlook.
  • Ability to create, update and distribute routine reports and correspondence.
  • Ability to speak effectively and professionally with individuals or groups inside and outside of the organization.
  • Must have the ability to prioritize, organize, and act efficiently and with urgency.
  • Ability to manage multiple priorities and tasks at any given time.
 MINIMUM QUALIFICATIONS  
  • Associate's degree (A.A.) or equivalent from two-year college or technical school required OR
  • Five years related experience and/or training required
  • Experience with Contract Management
 WORK ENVIRONMENT 
  • Must be comfortable working in shared spaces.
  • Must be able to cope with frequent changing priorities and deadlines with a high degree of optimism, professionalism & collaboration.
  • The majority of time will be spent indoors.
 PHYSICAL DEMANDS 
  • While performing the duties of this job, the incumbent is regularly required to sit, stoop, bend and crouch
  • Push, pull, and lift up to 25lbs.
  • Reach with hands and arms, use fingers to handle or feel.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust and focus.
  • While performing the duties of this job, the incumbent is required to speak and hear.
