The Onboarding team plays a crucial role in shaping a financial professional’s initial perception of Kestra Financial. The Head of Onboarding will be responsible for the strategic direction and execution of internal onboarding processes for financial professionals joining Kestra. The primary responsibility will be to oversee and lead the Onboarding team, ensuring an exceptional transition experience for new firms joining Kestra Financial.
Reporting to the Head of Client Service, the Head of Onboarding will collaborate closely with leadership and teams across the organization and will develop and implement strategies and business processes to ensure referable onboarding experiences.
The ideal candidate will have outstanding leadership skills, experience leading strategic projects, be an articulate communicator, have strong project management skills, and be a results-oriented team player who excels in working with partners and thrives in a fast-paced and growth-oriented environment. The position requires meeting clients in person, participating in the advisor recruiting experience, and achieving established goals and key performance metrics.
ESSENTIAL DUTIES AND RESPONSIBILITIES:Strategic Leadership:
  • Ability to think strategically with sharp analytical skills and strong attention to detail and accuracy.
  • Develop comprehensive expertise in each functional area of the team, facilitating informed decision-making and support, and serving as the Onboarding subject matter expert with internal and external stakeholders.
  • Act as a primary escalation point and interface with senior leadership, providing insights and updates as needed.
  • Present confidently and articulately, instilling trust and assurance in Advisor Diligence Experiences with potential recruits and Kestra business partners.
  • Leads by example, cultivating deep, trusting relationships with our clients, associates and Kestra stakeholders.
  • Promote a culture of accountability and ownership of the end-to-end advisor experience.
  • Foster a culture of professionalism, accountability, client focus and teamwork.
  • Lead, motivate and inspire the Onboarding team, fostering positive influence and accountability throughout.
  • Motivate the team to provide outstanding client service, instilling a culture of excellence and dedication.
  • Coordinate and collaborate with other departments across Kestra, establishing service level agreements to hold all partners accountable for executing consistently.
  • Promote healthy communication amongst the team, across the firm, and with our clients.
  • Develop and maintain key performance metrics to demonstrate onboarding success
  • Identify new and maintain existing technologies that will streamline processes for advisors, clients and home office associates.
Operational Management:
  • Direct and oversee the Kestra Financial Onboarding department, guiding newly affiliated financial professionals through pre-registration, registration, account establishment, and customer account transfer processes.
  • Ensure an exceptional onboarding experience, focusing on all aspects of the transition to create a reference-worthy experience.
  • Set clear, achievable goals and objectives for the team; communicate expectations clearly to team members and stakeholders, ensuring alignment and understanding.
  • Effectively manage change within the team, implementing new procedures with finesse and adaptability.
  • Direct Onboarding Consultants, ensuring adherence to standardized processes and holding them accountable for flawless execution and consistent experiences.
  • Utilize data and metrics to proactively plan for upcoming transitions and identify staffing needs.
  • Develop and implement process improvements regularly to ensure onboarding advisors are delivered an outstanding client experience, as efficiently and effectively as possible.
  • Evaluate subordinates regularly, providing constructive feedback and guidance for growth and development.
  • Manage team to maximize efficiency and productivity.
  • Focus on individual employees with a focus on results-oriented success measures.
KNOWLEDGE, SKILLS, AND/OR ABILITIES:
  • Experience with Salesforce preferred.
  • Excellent communication skills, both written and verbal, including public speaking.
  • Positive attitude and adaptability.
  • Strong analytical and problem-solving skills.
  • Ability to develop processes that can scale and evolve with the business
  • Strong organizational skills and ability to prioritize tasks.
  • Ability to multi-task and adjust to changing priorities in a fast-paced environment.
  • Ability to plan, organize and manage resources for project goals in collaboration with stakeholders.
  • Ability to build and maintain trusting relationships within the firm and with clients.
  • Proficiency with Microsoft Office products including Word, Excel, Outlook, and PowerPoint.
  • Understanding of the independent financial advisor industry.
  • Strong motivational and coaching skills.
  • Occasional travel to advisor offices is required.
SUPERVISORY RESPONSIBILITIES:
  • Onboarding Team Lead
  • Onboarding Consultants
EDUCATION AND/OR EXPERIENCE:
  • College degree required or combination of equivalent industry related experience.
  • Management/supervisory and performance management experience required with a minimum of 5 years supporting professional level clients.
CERTIFICATES, LICENSES, REGISTRATION:
  • Series 7, 24, 65/66 preferred.
INTERNAL APPLICANT POLICY:
Internal applicants must be in good standing and have a minimum of 1 year of service with Kestra. Internal applicants must also have a minimum of 1 year service in current role unless approved by EVP.
