Summary:Assists the General Manager in managing the daily operations of the Association with regular communication with the Board of Directors, Committee Members, Residents, vendors, and corporate staff.

Work Schedule

  • On-site, 40 hours per week.
  • Monday - Friday 8:00 am - 5:00 pm.
  • Must be available to have flexible hours as needed to work evenings to attend Board meetings and work some Saturdays for Association events or Townhall Meetings.

Essential Job Duties and Responsibilities:

  • Assists in the preparation and creation of Association Board packets and committee reports on a monthly basis.
  • Maintain monthly and annual calendars for all meeting dates and important Association events.
  • Attends all Board meetings, takes meeting minutes, schedules meetings and sets up/take down of Board and Committee meetings.
  • Maintains Association files and minutes.
  • Research possible violations, resident communications for noncompliance.
  • Distributes Association financial statements to Board of Directors.
  • Assists in assembling annual audits and budgets to all residents.
  • Oversees maintenance and administration of all office communications and office equipment.
  • Create Association events and club flyers, send out weekly online communications for weekly and monthly newsletters and events.
  • Performs general clerical and administration projects as assigned by the General Manager.
  • Attends all Architectural committee meetings.
  • Creates weekly newsletter announcements.
  • Website updates and weekly email communications.
  • Maintains annual calendar and all meeting dates for Association events.
  • Telephone and email coverage, issuance of work orders, customer service requests and general homeowner correspondence.
  • Provide courteous customer service to all walk-in homeowners, phone calls, and email correspondence.
  • Provide a monthly work order history log to the General Manager.
  • Maintain a clean work environment and ensure cleanliness in the office.
  • Practice and adhere to Keystone’s Core Values, Mission and Vision.
  • Any additional job duties as required by the General Manager.

Qualification Requirements:

  • Must have a valid CA Driver’s License and maintain a clean MVR.
  • Knowledge of HOA CC&Rs, Bylaws and Contracts with the ability to read, understand and implement said guidelines.
  • Demonstrate professionalism, reliability, patience and helpfulness towards clients and coworkers.
  • Must be flexible with work schedule for evening and weekend hours as needed and to be able to work extended hours or overtime.
  • Exceptional customer service skills.
  • Ability to research problems, prepare written recommendations, and compose professional correspondence.
  • Ability to use modern office equipment and software programs ass applicable to the position.
  • Ability to ensure follow-through and adherence to deadlines.
  • Ability to effectively communicate and multi-task while working under tight deadlines with a high level of accuracy.
  • Ability to safeguard work and Association documentation with accuracy and confidentiality.
  • Ability to perform all aspects of the job description with little to no supervision and to seek additional responsibilities.
  • Ability to drive to community with reliable method of transportation.
  • Ability to conduct landscape walks and driven inspections in the community
  • Exhibit professionalism, professional attire, and demeanor at all times.
  • Must work effectively with colleagues and clients.

Education and/or Experience:

  • 3 or more years of experience supporting a General Manager or similar role within the HOA/Community Management industry required
  • High School Diploma or GED required
  • Bachelor’s Degree preferred
