Kiemle Hagood is Hiring an Administrative Assistant- Multifamily Department Near Spokane, WA

The person in this position is responsible for providing administrative support to the Multifamily Residential Department, as well as support to internal and external customers which includes accounting, management, property owners, community site team, residents, and vendors.

KEY RESPONSIBILITIES

Key responsibilities of this position include, but are not limited to the following:

  • Provide administrative support for the Multifamily Department.
  • Take resident phone calls/emails and assist with their needs. Determine if Community Manager and/or Regional Manager need to get involved.
  • Maintain property management software including set-up of new properties, property budgets and periodic audits for accuracy.
  • File management (e-files and physical files)
  • Update Property List as well as afterhours contact list.
  • Maintain Tenant Selection Plan.
  • Prepare and submit special claims monthly.
  • Coordination of sending files to collections.
  • Prepare for department meetings: prepare, distribute memos, and take notes.
  • Send monthly Owners packet to each Owner.
  • Business license renewals.
  • Annual nonprofit and property tax exemptions.
  • Maintain Residential Departments Playbook.
  • Prepare monthly Department calendar.
  • Assist Regional Manager with HAP and funding renewals including annual utility allowance analysis and rent schedules.
  • Maintain previous participation in APPS.
  • Prepare and update Affirmative Fair Housing Marketing plans.
  • Assist in maintaining current and complete files on all residential tenants, including filing, and organizing.
  • Provide relief for front desk receptionist when needed.
  • Perform other duties, as assigned.

ATTENDANCE

Position requires ability to work from the corporate office in Spokane, 5 days a week, 52 weeks of the year. It will occasionally be necessary to travel to site locations. It is critical that individuals possess the ability to work their scheduled hours plus any other hours necessary to complete the job and must attend training classes as scheduled. Work schedules and location assignments are subject to change. Ensure compliance with time management policies including meal and rest periods.

MINIMUM JOB REQUIREMENTS

  • High school Diploma or GED
  • Proficient in various office technologies and software, including Microsoft Office, Outlook, Calendars, and property management software,
  • Excellent customer service and inter-personal skills including problem solving, critical thinker skills and ability to respond quickly and professionally.
  • Effective written and verbal communication skills.
  • Demonstrated attention to detail and efficiently prioritize various tasks producing required results.
  • Ability to work independently and as a team member.
  • Dependable, self-motivated, organized, good at multi-tasking, meeting deadlines, and follow-up.
  • Ability to maintain confidentiality of sensitive information.

PHYSICAL REQUIREMENTS

  • Prolonged sitting/standing at workstation.
  • Will use some repetitive motion of hands/wrists using a computer.
  • Requires light lifting, reaching, and bending.

  • Sick Pay - 0.038462 hours of sick per hour worked (on average 10 days per year). Up to 80 hours carryover each year.
