Job Description
Our busy legal firm is looking for an efficient, organized legal assistant to help our attorneys and paralegals assist our clients and ensure we’re operating efficiently. You’ll assist with the preparation of legal documents, and handle all office correspondence including answering phone calls and emails, arranging meetings and travel, and reminding the team of upcoming deadlines. If you have experience in a law firm environment, work well under pressure, and are looking for a rewarding opportunity in the legal industry, we want to connect with you. Compensation:

$27,000 - $35,000

Responsibilities:
  • Arrange travel, schedule meetings and appointments for the team, such as depositions, and coordinate with outside vendors for events
  • Handle office correspondence and administrative tasks such as responding to emails and phone calls, communicating with opposing attorney offices, taking dictation, and letting the team know about upcoming deadlines
  • Help with creating a variety of litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents when necessary
  • Process client billing properly using daily time records with help from the accounting department
  • Be willing to take on any other necessary administrative tasks to help the firm run smoothly
  • Interact with clients, insurance companies, medical facilities, and other parties and build relationships with them by phone, email, and in person
  • Maintain and update case management system: enter data in matter details for cases assigned to you, save documents received from client to system and share with an attorney, organize files, apply workflows, enter deadlines, document happenings in memos, log emails to case matters, log voicemails to case matters, and create tasks for all cases assigned to you
  • Manage and monitor case progress, deadlines, and important timeframes/milestones
  • Request, track, and obtain evidence including but not limited to medicals, accident reports, claim files, employment records, unemployment records, workers' compensation records, disability files, etc.
  • Review, analyze, and summarize the evidence in employment cases and create lost wage calculations for attorneys as directed
  • Conduct medical workups on personal injury cases: review, analyze, summarize, and cross reference medical records with bills and subrogation liens. Create medical books, medical special forms, medical chronologies, mileage calculations, and lost wage calculations. Verify record/bill relatedness and determine case damages
  • Prepare and send legal correspondence: letters of representation, subrogation requests, letters of protection, file requests, follow-up letters as needed, demand letters, negotiation letters, client correspondence, and other letters as requested by the attorney
  • Assist attorney with employment cases where unemployment claims have been filed: contact workforce, provide contact information for hearing, draft appeal letters, and collect/submit witness and exhibit information
  • Assist attorney with employment cases where grievances have been filed: contact grievance board, draft and send legal documents such as grievance forms, motions, witness lists, exhibit lists, discovery, appeals, and various letters as directed by the attorney
  • Ensure that the attorney has all of the relevant materials ready when the attorney has meetings in pre-litigation cases
  • Make copies/scan documents and prepare binders as needed upon request
  • Process outgoing mail for pre-litigation cases and medical records requests for cases
  • Assist attorneys with proofreading and finalizing documents
  • Assist with case wrap-up after settlements in personal injury cases: verify/negotiate subrogation liens, and outstanding medical bills, negotiate, under the supervision and at the direction of attorneys, reductions on medical bills, track reductions in medical specials sheet, draft Exhibit B of the settlement statement, draft letters to accompany checks for final payment of liens and bills as directed by attorney
  • Conduct monthly reviews of cases with attorneys and provide timely status updates to clients
  • Attend quarterly case status meetings
  • Attend meetings with clients to discuss matters of damages if needed for the purpose of drafting a demand
  • Assist the contingency team in meeting monthly demand and settlement goals
  • All other tasks as assigned by attorneys and legal team
  • Serve as backup to the receptionist and assist with answering incoming phone calls when needed
  • Enter time on a daily basis for work completed
Qualifications:
  • At least 1-2 years of previous experience in a law firm setting performing administrative tasks
  • Must be able to prioritize tasks with demanding deadlines and work in a fast-paced environment
  • Candidates should be able to type at least 50 words per minute
  • Associate’s degree, or some college is preferred; high school diploma or equivalent is necessary
  • Experience with legal software, litigation case management, and docketing programs
  • Complete the personality portion of the application
