ROLEWe are looking for an experienced Paralegal Specialist to support the Executive Office for United States Attorneys’ Witness Management Program at the U.S. Attorney’s Office – Middle District of Louisiana (USAO MDLA). Your scope of work focuses on supporting the fact witness management process, managing witness travel and lodging, processing travel vouchers, and ensuring witness appearances for court proceedings.

ResponsibilitiesI. Witness Management Assistance:
  • Work directly with fact witnesses to ensure appearance for court, pre-trial conferences, and grand jury
  • Receive visitors, field phone calls, and address inquiries from fact witnesses
  • Determine special circumstances or needs of fact witnesses and notify AUSA when necessary
  • Confer with AUSA regarding fact witness appearances and special circumstances
  • Prepare, format, and correct reports using word processing software
II. Travel & Reimbursement Coordination:
  • Obtain pertinent information for files and documents necessary to arrange witness travel and reimbursements
  • Initiate contact and notify fact witnesses concerning travel arrangements and appearance dates/times
  • Complete and submit documentation for special authorizations
  • Obtain prior approval before proceeding with travel arrangements
  • Ensure all travel documents and appearance information are provided to fact witnesses prior to their appearance
  • Make necessary arrangements for fact witness travel and lodging according to Department of Justice and USAO policies
  • Meet with fact witnesses upon arrival
  • Offer courtroom orientation to fact witnesses
  • Ensure a safe waiting area is available for fact witnesses
  • Collect necessary documentation for fact witness reimbursement
  • Prepare and submit documentation for fact witness reimbursement (e.g., witness vouchers, etc.)
  • Furnish requested information concerning pending and completed fact witness vouchers
  • Gather required documentation and reconcile Government Travel Accounts
  • Schedule Appointments
III. Communication:
  • Obtain information and coordinate with the Court, Probation, Pretrial, U.S. Marshals Service, investigative agencies, etc
  • Compose original letters that require knowledge of legal procedures and fact witness terminology
  • Answer inquiries regarding case-related information as maintained in the database
IV. General Office Procedures:
  • Establish and maintain a variety of fact witness files, case/project files, documents
  • Conduct data entry and retrieval
  • Assemble documents and information for fact witness file material and retention
  • Establish and maintain a calendar and/or database of active and pending fact witness appearances
  • Track hearings, trial dates, grand jury, and scheduling conferences
  • Perform other administrative and logistical fact witness management-related duties as required or assigned
  • Ensure information is accurate and conduct analytical computations necessary to process data
  • Maintain internal status information on the disposition of designated information, files, and assets
BACKGROUND
  • Knowledge of legal procedures and fact witness terminology
  • Proficient in Microsoft Office applications (e.g., Excel, Outlook, Access, PowerPoint)

  • Undergraduate degree preferred

Other Considerations. Applicants will be subject to a background investigation. Individual’s primary workstation is located in an office area. The noise level in this environment is low to moderate. Regularly required to sit for extended periods up to 100% of the time; frequently required to move about to access file cabinets and use office equipment such as PC, copier, fax, telephone, cell phone, etc. Occasionally required to reach overhead, bend, and lift objects of up to 10 lbs. Specific vision abilities required by this job include the use of computer monitor screens up to 100% of the time.
