ROLEWe are seeking an experiencedto Paralegalsupport the United States Attorney’s Office (USAO), Eastern District of Virginia (EDVA). Your scope of work includes managing the fact witness process by arranging travel and lodging, processing travel vouchers, coordinating with various agencies, and providing direct assistance to USAO Victim-Witness personnel and other legal staff.

Responsibilities
  • Support the fact witness management process
  • Complete and process travel vouchers
  • Arrange witness travel and lodging
  • Work directly with witnesses to ensure appearance for court, pre-trial conferences, and grand jury
  • Coordinate with other agencies as required
  • Provide clerical services to support the USAO fact witness management process
  • Assist USAO Victim-Witness personnel, AUSAs, legal assistants, administrative staff, and other USAO personnel
  • Perform tasks in an office setting with some walking, standing, bending, and carrying of small office items
  • Use the description of tasks in this statement of work as a basis for support
  • Maintain witness files
  • Enter data into relevant computer systems
  • Provide witness management assistance prior to, during, and after trial
  • Work directly with fact witnesses to ensure appearance for court, pre-trial conferences, and grand jury
  • Receive visitors and field phone calls, questions, and other inquiries from fact witnesses
  • Arrange witness travel and reimbursements
  • Initiate contact with fact witnesses concerning travel arrangements and appearance dates/times
  • Determine any special circumstances or needs of the fact witness
  • Notify AUSAs of special circumstances or needs of fact witnesses
  • Confer with AUSAs concerning fact witness appearances and special circumstances
  • Complete and submit documentation for special authorizations
  • Make travel arrangements for fact witnesses according to Department of Justice and USAO policies and procedures
  • Meet with fact witnesses upon arrival at designated hearings or pre-trial conferences
  • Perform courtroom orientation and accompany witnesses to court
  • Ensure a safe waiting area is available for witnesses
  • Collect necessary documentation and signatures for fact witness reimbursement
  • Prepare and submit documentation for fact witness reimbursement
  • Furnish requested information concerning pending and completed fact witness vouchers
  • Gather required documentation and reconcile Government Travel Accounts
  • Coordinate with the Court, Probation, Pretrial, U.S. Marshals Service, and other agencies as needed
  • Complete recurring documents in conformance with established rules and formats
  • Compose original letters requiring a good working knowledge of legal procedures and specialized terminology
  • Establish and maintain a variety of fact witness files, documents, and databases
  • Assemble documents and other information for fact witness files
  • Maintain calendars and databases of active and pending fact witness appearances
  • Track hearings, trial dates, grand jury sessions, and scheduling conferences
  • Perform other administrative and logistical duties related to fact witness management as required or assigned
KNOWLEDGE & SKILLS
  • Knowledge of legal procedures and terminology
  • Proficiency in Microsoft Office (e.g., Excel, Outlook, Access, & PowerPoint)
  • Strong communication, analysis, and organizational skills
BACKGROUND
  • Exp. working in a legal setting preferred
  • Exp. working in an administrative role preferred

  • Highschool diploma required
  • Undergraduate degree preferred

Other Considerations. Applicants will be subject to a background investigation. Individual’s primary workstation is located in an office area. The noise level in this environment is low to moderate. Regularly required to sit for extended periods up to 100% of the time; frequently required to move about to access file cabinets and use office equipment such as PC, copier, fax, telephone, cell phone, etc. Occasionally required to reach overhead, bend, and lift objects of up to 10 lbs. Specific vision abilities required by this job include the use of computer monitor screens up to 100% of the time.
