Overview Provides administrative support for supervisor including scheduling appointments and meetings, receiving visitors, handling incoming communications, typing, filing and performing various other administrative duties. Provides coordination and administrative support for special projects and committees. Maintains confidentiality. Core Responsibilities
  • Maintains supervisors schedule. Arranges appointments and meetings, frequently with other senior-level individuals outside the organization as well as internal departments.
  • Receives visitors and directs them to the proper person/location. Answers and screens telephone calls, accepting and providing information. Finalizes the call, if possible. Manages external contacts for supervisor proactively understanding who they are and which are priority contacts; keeps track of periodic communication needed for priority contacts.
  • Evaluates incoming mail/email for supervisor. Categorizes documents and assembles related information. Responds to mail, where appropriate.
  • Types various documents. May compose letters or memos. Performs specialized or confidential secretarial work. When supervisor chairs meetings, prepares agenda in advance; assists with and provides research/background information, content development and creates presentations and coordinates meetings. May assist in preparation for quarterly Board Meetings, including tracking, monitoring and following the progress of open action items.
  • Makes travel arrangements and coordinates the pre-planning of trips. Processes and maintains expenses for supervisor.

  • Strong organizational and coordination skills to support multi-tasking
  • Professional demeanor and ability to defuse emotional situations in a calm manner

Education Required:
  • Associate's degree
  • 5-7 years of experience in a related field or equivalent combination of training and experience
Compensation

The wage range for this role takes into account a broad array of factors that are considered in making compensation decisions, including but not limited to: skill sets; experience and training; licensure and certifications; and other business and organizational needs. The range below applies as long as the work is performed in Connecticut; the Knights of Columbus reserves the right to adjust the wage range if the position is performed in another location. At the Knights of Columbus, it is not typical for an individual to be hired at or near the top of the range for their role, and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $49,200-,76,200.

Authorization to work in the United States is required

This position is not eligible with visa sponsorship. 

Physical Demands Must be able to remain in a stationary position for a majority of the workday.
