Title: Administrative Specialist I - Maintenance Equipment | Location: Clackamas, Oregon | Pay: $15.95 - $19.00 / Hr.

Shift: Monday – Friday | Day shift

Job Duties and Responsibilities:

• Administrative support for the safety and maintenance department.
• Conduct trailer inspections for check-in and check-out.
• Schedule preventative maintenance (PM) with vendors and communicate schedules to drivers and operations.
• Prepare weekly mileage reports for vendors.
• Maintain and keep an inventory of driver boxes for Kool Pak terminals and drop yard.
• Create and maintain equipment records and files.
• Create maintenance purchase orders. Enter shop work and repair orders into TruckMate.
• Participate in inventory control.
• Greet customers, provide customer service, and build professional relationships through practical service and product delivery management.
• Act as a liaison between the customer and technician. Clearly explain the technician's repair recommendations, cost, and work performed. Communicate customer needs to technicians.
• Handle customer complaints sensitively and politely.
• Prepare and provide estimates and schedule appointments. Check customer files for routine planned service and future corrective work.
• Review complex technical documents. Enter repair job details on the company's network and create repair lists and instructions for technicians on required replacement parts.

Qualifications Required:

• Effectively communicate with internal and external sources via email, phone, and in person.
• Excellent customer service skills.
• Strong attention to detail, ability to prioritize, meet deadlines, time management and ability to work independently.
• Excellent math, writing and listening skills.
• Beginner/intermediate typing skills, including experience with the 10-key by touch.
• Proficient in Microsoft Office applications: Excel, Word, Outlook, and experience utilizing enterprise resource planning (ERP) systems (TruckMate experience preferred).
• Ability to work in a team and individually.
