This role will be remote but within commutable distance to Medfield MA. 90% of this role will take place remotely, but in the event somethin should come up, the President would like to have someone local that can easily get to the offices.
You will be the right hand of our owner/president helping to see around corners, enhance our image, influence outcomes, while ensuring all the balls are kept in the air. The Executive / Personal assistant will support the owner within the company in an administrative and personal capacity by managing Email, quote requests, calendars, preparing meeting materials, executing projects and more. As an Executive Assistant, you will play a crucial role in providing high-level administrative support to executives. You will be responsible for managing calendars, responding to the president's emails, giving quotes, coordinating projects, handling correspondence, and ensuring efficient office operations. FIling is a l=big part of this role - organizational skills are key. The ideal candidate will have a strong propensity for attention to detail, and the ability to multitask effectively.
Responsibilities:
- Manage executive calendars and schedule appointments
- Coordinate meetings and prepare meeting materials
- Assist in project coordination and follow-up on action items
- Handle clerical tasks such as data entry, filing, and document management
- Manage office operations and ensure smooth workflow
- Utilize DocuSign for electronic document signing
- Proficiently handle phone systems and manage incoming calls
- Maintain Outlook Calendar for scheduling purposes
Experience:
- Proven experience in office management and executive support roles
- Familiarity with DocuSign for document management / TEAMS / ZOOM Setup
- Proficiency in phone systems and handling calls effectively
- Strong project coordination skills
- Experience with data entry and file management
- Excellent knowledge of Outlook Calendar for scheduling purposes
Skills and Requirements:
- Exceptional communication skills, both written and verbal
- Strong organizational skills with attention to detail
- Ability to work in a fast-paced environment and prioritize tasks efficiently
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with CRM software is a plus
Qualifications:
- Bachelor's Degree in Business Administration or related field preferred
- Previous experience in an executive assistant role is advantageous
- Ability to maintain confidentiality and professionalism at all times
