Start Date: Immediate start possible

Salary Range: $55,000 - $60,000 /yr.

La Jolla Music Society is one of the most prestigious and highly respected performing arts presenters in the United States. Our winter season presentations showcase a rich variety of classical, jazz, global roots, spoken word, family, and dance programming, at its state-of-the-art venue, The Conrad, as well as off-site venues throughout San Diego. In addition to our winter season and award-winning Learning & Engagement Programs, La Jolla Music Society also produces SummerFest, a renowned four-week chamber music festival featuring world-class artists and ensembles performing an array of concerts and programs curated by SummerFest Music Director, Inon Barnatan.

SUMMARY

The Learning & Engagement Coordinator plays an integral role in the planning and administration of LJMS’s educational activities, creating arts access opportunities for the community through artist engagement, free community events, and the Education Ticket program. This position prepares projects, including event planning/programming, contracting, and scheduling, as well as day-of event logistics and artist coordination.

JOB DESCRIPTION

WINTER SEASON

  • Create contracts, advance performances, draft itineraries, and serve as artist liaison on concert day, including artist transportation, for Discovery, Speaker, and ConRAD Kids Series performances.
  • Coordinate the planning and scheduling of artist residencies and community engagement activities for Discovery Series artists and the Education Ambassador.
  • Facilitate daytime educational activities for Discovery Series, Dance Series, Piano Series, and Education Ambassador by transporting artists, introducing artists and program, and orchestrating the activity or lesson (when applicable).
  • Coordinate Education Ticket Program by building and maintaining relationships with school/group contacts, assigning allocated tickets, arranging ticket distribution with Box Office team within set deadlines, administering post-performance surveys, and collecting attendance data.
  • Confirm artists and programs, create contracts, advance performances, develop marketing content, and serve as day-of point of contact and event manager for Wu Tsai yrd Concert Series and two annual Open House events.

SUMMERFEST

  • Assist Director of Learning & Engagement with festival planning and programming.
  • Working with the Director of Learning & Engagement, Artistic Director, and Senior Artistic Operations Manager, identify and confirm artist participation for Artist Lounges, Open Rehearsals, and Encounters.
  • Build schedules, confirm coaches and students, and facilitate all Coaching Workshops.
  • Serve as event coordinator for all Learning & Engagement activities and provide artist transportation when necessary.
  • Create and distribute Fellowship Artist offer letters, contracts, and itineraries.
  • Be available to Fellowship Artists throughout festival, serving as the main point of contact, establishing strong communication and checking in with artists regularly, facilitating rehearsal schedule changes, assisting with travel plans and reimbursements, and distributing payments.

GENERAL ADMINISTRATION

  • Process and track all department check requests and code department receipts.
  • Maintain department databases and calendar, including the coordination of interdepartmental and external communication, as well as key department deadlines.
  • Create content for gala programs, brochures, event handouts, Prelude inserts, and SummerFest programs.
  • Take minutes at meetings and distribute communications to the Learning & Engagement Committee.
  • Assist with planning and facilitating Community Music Center recitals and program evaluation.
  • Seek and build community partnerships with schools and other programs or nonprofits that strengthen and reflect LJMS’ mission and its Learning & Engagement programs.
  • Concert duties and other projects as assigned.

QUALIFICATIONS

  • 1-2 years of relevant experience.
  • Proficiency in Spanish preferred.
  • Ability to read music is required.
  • Strong written and verbal communication skills, including public speaking.
  • High level of organization and attention to detail.
  • Deep understanding of and dedication to DEI practices.
  • Valid driver’s license.
  • Knowledge of classical music repertoire, jazz, dance, and California Arts Standards is preferred.
  • Proficiency in Microsoft Office software, including Word, Excel, and PowerPoint.
  • Experience with ArtsVision, Tessitura, or other CRMs/databases a plus.
  • Ability to lift up to 30 lbs.

ADDITIONAL INFORMATION:

  • This is a full-time position with benefits and is eligible for overtime.
  • Standard office hours are M-F 9-5, but the schedule of this position will shift based on event requirements and concert schedules. Nights and weekends will be necessary especially in the month of August for SummerFest.
