The Opportunity:We are looking for a highly-organized Event and Community Coordinator to set the bar high for our staff and community events. The Event and Community Coordinator works to continuously improve the competitive position of the firm and maintain the culture by coordinating and executing community and staff events and client gifting campaigns and facilitating marketing efforts that align with our vision, mission, core values. This is an ideal position for a solution-driven, self-starter with specific expertise in successful execution of in-person and virtual events, who would like to join our growing and high performing team. As part of our Marketing Team, you will support our firm wide success by enhancing company culture and client growth. This role requires exceptional time management and adaptability skills to take the firm to new heights with respect to event execution . A successful candidate for this role will be a social adept and creative spirit who is dedicated to providing flawless execution of our marketing vision and strategies.
What Winning Looks Like:
  • Accountable to coordinate and execute all community and internal staff events based on Leadership's goals and strategies.
  • Create project scope and work with the Marketing Team to develop plans with assigned roles, action steps, and deadlines
  • Coordinate with vendors and internal staff to ensure accuracy and timeliness of guest lists, food and beverages, lodging, transportation, equipment, music, invitations, supplies, materials personnel, and location reservation for each event
  • Work with marketing team to promote event across channels, including social media and website
  • Monitor and report internal and client event registrations (e.g., how many, who, etc.); proactively discuss concerns in registration and plan for solution
  • Research possible vendors and negotiate contracts to stay within budget. Work with director of marketing to obtain approval on all costs
  • Manage all day-of event production from start to finish, participating on-site, engaging with clients and/or staff, and supervising all on-site support staff and vendors
  • Exercise judgment to address unforeseen issues in a calm and productive way, proactively planning for any potential issues as much as possible
  • Manage post-event writeup, including opportunities for improvement to maximize ROI of events
  • Community involvement: serves as the gatekeeper to all sponsorships, donation and volunteer requests and acts as the community liaison to the local communities in which we serve
  • Research, plan, & execute community outreach/volunteer opportunities
  • Serve as the gatekeeper to all sponsorships, donation, and volunteer requests
  • Accountable to design and execute client gifting campaigns.
  • Plan & execute gifting campaigns for external referrals/past clients/current clients, including creating and sending swag boxes and other gifts for clients
  • Work with marketing team on touchpoints for clients throughout the customer journey
  • Accountable to facilitate marketing efforts that align with our vision, mission, and core values.
  • Assist video team with video-related projects for firm when needed
  • Attend and participate in weekly marketing team meetings, reporting on progress towards deadlines
  • Assist in developing PowerPoint presentations for events when necessary
  • Assist Business Development Liaison in market research
  • Assist with other internal projects and job-related duties as assigned

  • Harness Flexibility: able to be flexible to work overtime when needed; some travel is required
Preferred Education & Experience:
  • At least three years of experience successfully executing in-person and virtual events, including contract negotiation, event planning and execution management with multiple venues and suppliers simultaneously
  • Proficient in Graphic Design
  • A track record of foreseeing potential issues and proactively solving for them ahead of time to reduce risk
  • Strong record of meeting deadlines
  • Familiarity with marketing and social media
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
