Senior Grant Accountant, Finance & Operations

The Senior Grant Accountant plays a critical role in our financial team, ensuring the integrity and accuracy of accounting and financial reporting related to grants. This position requires a detail-oriented professional who is adept at managing multiple funding sources within the framework of an established accounting system. The Senior Grant Accountant will work closely with the accounting manager, program managers, directors and external stakeholders to ensure compliance with grant requirements and financial standards. The candidate must be proficient in understanding and interpreting federal grant assistance listings and in implementing controls to ensure compliance.

Primary Duties:

Monitoring compliance with federal, state and city grant rules and regulations

  • Maintain up-to-date knowledge of grant regulations and guidelines, including federal Uniform Guidance and the specific requirements of each grantor
  • Provide monitoring, consultation and technical assistance in partnership with grant managers and the accounting manager to ensure compliance with the federal Uniform Guidance and other specific funder related restrictions throughout the grant lifecycle
  • Collaborate with program staff in the development of grant proposals, providing financial data and budget estimates as needed
  • Monitor fiscal compliance by subcontractors and sub-recipients with various reporting periods. Participate in fiscal monitoring for non-profit agencies receiving money through prime federal awards from BEF. Review data, identify errors through analysis, research, and interpretation of data, and provide recommendations to the Accounting Manager and/or Program Manager in determining corrective action
  • Ensure accurate and timely financial reporting to internal and external stakeholders, adhering to any and all grant specific requirements
  • Prepare and analyze monthly financial reports for grants and review them with program staff

Grant Administration and other Accounting Duties

  • Develops and maintains a database of grant financial documentation for historical reference and compliance purposes, ensuring the confidentiality and security of financial records
  • Monitors grant related accounts receivables and accounts payable to ensure timely incoming and outgoing cash flow
  • Work with program directors to monitor grant budgets and support their financial reporting needs 
  • Collaborate with program staff and the accounting manager in the development of grant proposals, providing financial data and budget estimates as needed.
  • Performs general accounting functions specific to grants such as posting journal entries, reclassing expenses, allocating costs, and supporting month-end close reconciliations.
  • Reviews and processes reimbursement requests from subrecipients, and manages tracking and issues related to subawards
  • Prepares, maintains, and tracks complex or extensive billings and financial information for grants as required. Prepare projections and forecast cash needs within programs. Track due dates and prepare reports for grantor agencies, verify invoices for allowable costs, and prepare monthly grant requests for reimbursement
  • Assist the Accounting Manager in annual audit preparation, including supporting analyses and schedules, including the Schedule of Expenditures of Federal Awards. Assist auditors by researching issues, creating reports and responding to audit findings
  • Perform financial analysis and review as requested
  • Participate in implementation, improvement, and oversight of fiscal policies and procedures, with an emphasis on creating efficiencies
  • Provide excellent customer service and respond in a timely fashion to inquiries from staff, vendors, customers and other stakeholders
  • Professionally represent BEF in interactions, both verbal and written, with partners, funders and staff
  • Works on other projects as assigned by the Accounting Manager

Qualifications:

  • Bachelor’s Degree in Accounting, Business or equivalent work experience
  • Nonprofit experience required
  • A minimum of five years of directly related experience with federal, state, and local grants
  • Strong understanding of Generally Accepted Accounting Principles, especially with regards to nonprofit revenue recognition
  • Highly organized with excellent project management skills, including the ability to establish and monitor priorities, maintain flexibility, and meet deadlines in a fast-paced setting; able to handle multiple complex tasks with stringent time constraints
  • Self-starter, able to work independently as well as in a team, with a track record of collaborating successfully with others
  • Experience in a high transaction volume accounting office, supporting multiple stakeholders
  • Strong organizational skills with a high degree of accuracy and attention to detail is essential
  • Proficiency with Microsoft Office Suite required
  • Proficiency with NetSuite and NetSuite Planning & Budgeting a plus
