Position: Full-time

Salary: $53,000 to $58,000 annual salary

Position Overview:

The position is a full-time position, responsible for assisting the Executive Director with grant research, preparation, writing and submission, various marketing, public/business relations, donor data & mailing base development, event planning, and promotional activities. This includes data collection, record updating as well as creative input with regards to effective use of social media and website.

Roles & Responsibilities

Essential functions and responsibilities include, but are not limited to:

  • Develop and execute a comprehensive fundraising plan in collaboration with the Executive Director and Board of Directors to increase revenue and achieve organizational goals.
  • Track programmatic funding needs and grant fundraising strategy for the organization.
  • Identify, cultivate, and maintain positive and professional working relationships with individual donors, corporate partners, community organizations, private grantors, and governmental agencies to secure gifts, sponsorships, and grants.
  • Create fundraising materials and campaigns that communicate the clinic’s mission and values to target audiences.
  • Working with the Board of Directors Fundraising Committee, manage and oversee all fundraising events, ensuring effective planning and implementation.
  • Develop and maintain a donor database, ensuring accurate and timely recording of gifts and effective communication with donors.
  • Monitor and analyze fundraising data to evaluate performance and adjust strategies as needed. This involves tracking donor engagement and retention rates, analyzing revenue streams and making data-driven decisions that help the organization achieve its fundraising goals.
  • Provide regular fundraising reports to the Executive Director and Board of Directors and make recommendations for adjustments to the fundraising plan as necessary.
  • Stay up to date with best practices in non-profit fundraising and grant funding, including emerging trends, regulations, compliance requirements, gift acknowledgment and nonprofit financial reporting.
  • Research prospective grant sources compatible with the Lake County Free Clinic’s mission, values, and programs in support of the organization’s strategic plan and program goals and calendaring those prospects into the annual grant strategy.
  • Coordinate the development of grant requests by establishing timelines that outline tasks, assignments, and deadlines; meet all deadlines; facilitate timely communications with program leadership; collect grant submission materials from the Executive Director and other clinic administrators.
  • Research and collect data and study findings to support grant proposals and reports. Special attention should be made in checking for completeness against grant instructions, spelling, grammar, and style; and to ensure compliance and regulatory requirements.
  • Draft and edit high quality, compelling LOI’s, grant proposals, grant reports, and acknowledgement letters. This includes formatting organization budgets to meet grant sources’ budget requirements.
  • Copy, collate, package, and submit final grant materials per grant instructions, and within funder deadlines.
  • Track, review and analyze data on grant awards received to generate reports to funders.
  • Oversee and track all grant milestones including, but not limited to; proposals in development, proposals submitted to funders, proposals that have been issued or canceled, deliverable deadlines, communication, and awards, ensuring that all content is complete and up to date at all times, and that calendar reminders are set up.
  • Maintain a repository of grant proposals and resources.
  • Communicate with the Executive Director, other clinic administrators and the Board of Directors regarding grant application submissions.
  • Manage and maintain the organization’s website and social media presence. Create website graphics, update old content and add events. Test all updates before going live. Conduct regular meetings with website volunteers. Ensure uptime and work with volunteers or contractors to ensure website is functional.
  • Assist with social media updates and posts; respond to messages and maintain messenger auto-responder.
  • Attend applicable conferences, grant application training sessions, meetings and other related duties as assigned.

Requirements

  • Bachelor's degree in a relevant field such as nonprofit management, business administration, marketing or related field.
  • At least 3 to 5 years of experience in nonprofit grant writing and fundraising, with a proven track record of securing donations, sponsorships, and grants.
  • Proficiency in Microsoft Office; Excel and dashboard apps (i.e., Looker Studio, Tableau, etc.)
  • Passion for Lake County Free Clinic's mission and a commitment to making a positive impact in the community. A strong sense of personal integrity and ethical conduct is also essential in this role.
  • Strong written and verbal communication skills to be able to craft compelling donor communications and marketing materials that resonate with potential donors and grant funders. This requires excellent writing and editing skills, as well as the ability to communicate complex ideas clearly and persuasively as well as the ability to respond to inquiries from funders and programs strategically and in a timely manner. The director must be proficient in communicating and interacting with various stakeholders from different backgrounds and perspectives.
  • Strong leadership and project management skills, with the ability to oversee multiple projects and meet deadlines. 
  • Highly organized and detail oriented, with the ability to work independently, with minimal direction, and record and manage grants and donor information effectively.
  • Knowledge of grant and fundraising software and tools, such as donor databases, online giving platforms, and email marketing systems. This includes proficiency with popular fundraising software. The ability to analyze and interpret data from these systems is essential for making informed decisions and developing effective fundraising strategies.
  • Knowledge of local and national philanthropic trends and the ability to write grants and to design programs for non-profit development that capitalize on those trends.
  • Ability to be flexible and adaptable, able to adjust grant writing and fundraising strategies in response to changing circumstances or unexpected events. The director must be able to work under pressure and meet tight deadlines, while maintaining a positive and solutions-oriented approach.
  • Ability to cooperate and work collaboratively with various stakeholders, including businesses, vendors, donors, funders, colleagues, staff, volunteers, and board members. This requires excellent interpersonal skills, as well as the ability to build relationships and work effectively with diverse groups of people.
