About the Role: As our Accounting Specialist, you'll take the reins on all aspects of financial management, collaborating closely with Sales, Operations, and Order Processing teams. From ensuring compliance with GAAP standards to spearheading month-end procedures, you'll play a pivotal role in maintaining financial security and driving efficiency.

Responsibilities:

  • Manage Accounts Receivable / Collections, ensure timely billings, monitor delinquent A/R, and assist with collection efforts
  • Manage Accounts Receivable Report and hold weekly A/R meetings with Sales
  • Collecting W9’s from Contractors / Annual 1099 filings
  • Manage daily bank deposits and incoming wire / ACH payments
  • Manage credit card compliance procedures.
  • Assist in finalizing and implementing new policy and procedures
  • Manage Corporate Dealer/Distributor files and ensure all information on file is accurate and current
  • Oversee that all intercompany transactions are being handled properly
  • Guide the Order Processing staff by coordinating activities and answering questions to ensure that proper processes are being followed
  • Manage Accounting Process (Digital SOP) and documentation to ensure that all processes are up to date and are working efficiently
  • Process bi-weekly payroll for employees: Verifies timekeeping records, maintains time and attendance records using paper timesheets and/or electronic time management system
  • Reviews payroll before finalizing to ensure accuracy and generates and verifies payroll reports out of payroll system on Employee PTO management
  • Process monthly employee sales commissions
  • Complete monthly closing procedures including but not limited to the following: Preparation and posting of recurring and non-recurring journal entries
  • Reconciliation of Bank and Credit Card Statements, General Ledger account reconciliations and adjustments
  • Intercompany account reconciliations, Sales and Use Tax reporting (multiple jurisdictions)
  • Enter vendor invoices against Purchase Orders and Issue payments to vendors. Research and reconcile any vendor balance discrepancies
  • Daily monitoring of bank account balances and ACH/Check Positive Pay in order to maintain/provide current and accurate financial status reports to CEO; research and resolve discrepancies as needed/requested
  • Work with management, staff, and outside CPA/Consultants to continually improve, document, and maintain accounting processes, procedures, and systems (work and authority flows) to strengthen controls, maximize effectiveness and efficiency of operations, assure reliability of financial reporting, and maintain compliance with local, state, and federal governmental requirements and tax filings
  • Substantiate financial transactions by auditing documents

Requirements:

  • Minimum Experience: 2-4 years experience managing an accounting department and extensive experience with QuickBooks in a manufacturing/distribution environment
  • Required Skills: QuickBooks and Excel
  • Excellent communication and listening skills, friendly and engaging personality, confident phone manner, a positive, “I’ll get it done” attitude and a team player.
  • Experience with full cycle accounts receivable and accounts payable
