Job Description:

The Warranty Administrator to perform a wide range of administrative and office support duties associated with vehicle warranties. This role ensures the dealership is paid for all warranty work in an accurate and timely fashion by preparing, flagging, submitting, and following up on each claim.

Job Duties Include:

• Communicates with Service Advisors to define the scope of a warranty claim.
• Processes all warranty paperwork to ensure proper documentation and to verify criteria by factory or distributor.
• Determines and enters the applicable labor operation codes, failure codes, and/or other administrative data required and enters them on the repair orders.
• Reviews every warranty repair order written for proper completion, accuracy, and legibility according to the applicable policies and procedures.
• Returns improperly completed repair orders to the person originating the document for correction and/or completion as necessary.
• Submits warranty claims to the manufacturer or warranty company using the administrative tools available and in current use. Reviews all returned or rejected warranty claims and prepares the repair orders for immediate resubmission.
• Reconciles warranty receivables and works with the accounting department to obtain payments.
• Tracks all service and customer records as required by warrantor.
• Stays abreast of all factory recalls, announcements and procedures.
• Establishes and maintains relationships with warranty representatives and the representative of any aftermarket warranty company with which the dealership conducts business.
• Reports to management any abuse or fraudulent manipulation of warranty claims.
• Contacts the appropriate warranty claims representative regarding any claims requiring special authorization.
• Maintains a record of all claims submitted, returned, rejected, or paid and their current status.
• Provides a weekly report to the service manager regarding claims status.
• Strives to maintain a minimum warranty claims acceptance rate of 95% and no more than 14 days of warranty receivables.
• Other duties as assigned

Qualifications:

• High school diploma or equivalency.
• Two years of experience in a similar position, knowledge of automotive service, strong administrative, organizational, math, and computer skills, and exceptional interpersonal skills.
• Successfully pass a pre-employment drug screen, motor vehicle and background check

Hours: Monday to Friday 7:30 am to 4:30 pm
