We are seeking an enthusiastic Billing Specialist with a great attitude and a commitment to always putting customer experience first to join our fast paced and dynamic team. This position is responsible for facilitating the generation and distribution of client invoices in collaboration with Firm Attorneys. The principal area of focus for this position is centered around Accounts Receivables.
Essential Functions:
  • Process pre-bills and client invoices in an accurate and timely manner. Review and edit pre-bills, adhering to client requirements, attorney approval and Firm billing procedures
  • Submit invoices electronically using necessary software. Communicate with billing attorneys, timekeepers, and/or clients regarding adherence to specific client requirements. Follow up on invoice rejections in a timely manner.
  • Review all new business for billing setup. Input of new client and matter billing information, adhering to client and attorney requirements for rates, billing addresses, billing timekeeper, bill formats, and other billing related setup. Update all billing related changes to existing clients and matters.
  • Provide financial support and training responding to financial inquiries when requested. Process both scheduled and ad-hoc financial reporting utilizing both the billing system and custom reporting software.
  • Provide and verify client and matter numbers to requestor, as well as providing financial information required for firm audit responses.
  • Update time entries into the billing system on a daily basis. Train and support users on time entry software, troubleshooting any issues that come up. At month-end, communicate with timekeepers regarding deadlines, and update all time entries prior to month end closing. Troubleshoot and test all new software upgrades as well as involvement in upgrade project team.
  • Assist in ad-hoc projects/reports as assigned by the Billing Supervisor or Manager

  • Ability to operate at the highest level of professionalism, integrity and confidentiality
  • Ability to perform a variety of tasks, often changing assignments on short notice
  • Experience with Aderant or Elite software a plus
  • Proficient in Microsoft Office Suite and Adobe
  • Financial systems knowledge and experience, Elite Enterprise & Cael Bill Prep preferred
Minimum Requirements:
The minimum qualifications listed below (along with education/experience) are representative of the knowledge, skills and abilities needed to perform this job successfully.   • High School Diploma/GED General Studies required; a certificate in Accounting preferred
  • Three years of accounting/finance experience with an emphasis in client billing preferred
  • Ability to proficiently use a 10-key and type
  • Read, write, and understand the English language
  • Prior legal billing experience is a plus
Hours / Schedule / Location:
  • 40 hours per week / Monday through Friday 8:00 AM - 5:00 PM / Seattle Office - Hybrid
  • This position reports directly to the Billing Supervisor
  • This is a full-time, non-exempt position that requires regular and predictable attendance
  • Infrequent travel may be required for cross-office projects
  • Hybrid - Remote and On-site work will be necessary for this role
Salary Range:
  • $70,000 to $73,000 annually
Other Compensation:
  • Other compensation may include bonuses, profit sharing, HSA employer contributions, prizes and gifts
