Description
An environmental non-profit is seeking an administrative assistant that supports the Program Coordinator. The candidate will be expected to work professionally with all employees at all levels to ensure administrative tasks are efficiently and effectively completed and help facilitate timely and accurate planning. Must have strong customer service skills, the ability to manage multiple tasks at once, and administrative experience.
Responsibilities:
· Scheduling appointments for technicians at childcare centers around the state
· Taking inbound calls from technicians and childcare providers
· Making outbound calls, including cold calls to childcare providers
· Providing customer service to internal and external clients
· Monitoring and tracking appointments and required paperwork in Microsoft Excel
· Managing a shared inbox and communicating with internal and external clients via email
· Creating supporting documents and supply shipments for scheduled appointments
· Filing and organizing documents from completed appointments.
· Working closely with state agencies, CSUS, laboratory contacts, and childcare personnel
Requirements
· High School diploma
· Minimum 2 years of clerical, administrative, and/or customer service experience
· Good typing and computer skills, with proficiency in MS Office Suite (especially Microsoft Excel)
· Strong written and verbal communication skills
· Sharp attention to detail
· Comfort and ease on both inbound and outbound phone calls
