Job Description:

As the Office Administrator, you will play a pivotal role in ensuring the efficient and organized operation of our office. You will be responsible for a wide range of administrative, operational, financial, and human resources tasks. This role requires a detail-oriented, proactive, and organized professional who can wear multiple hats and keep our office running seamlessly

Responsibilities:

  • Must conduct themselves with integrity and unwavering honesty
  • Applicant needs to show a partnership mindset in the operations of the business.
  • Applicant will answer and direct phone calls, take messages, and respond to inquiries with good customer service skills.
  • Applicants must be able to solve challenges through effective collaboration with the leadership team.
Requirements:
  • Office Manager must have an understanding of 401-k policy and the necessary paperwork to be filled out.
  • The applicant will be required to facilitate the deposits and balancing of the individual store's cash inflow.
  • They must be able to balance the accounts on our google drive balancing sheets and have an understanding of the procedures involved in them.
  • The applicant will be expected to maintain the company checkbook and dispense it in a prudent manner.
  • The Office Manager is expected to keep financial records in digital format and be up to date on financial software available for the business.
  • The applicant must have a good understanding of Excell, Word, Microsoft Systems, and Quickbook and be able to work with them.
  • Applicant must have experience composing and sending emails.
  • Recommend that Applicant have experience working with Payroll software.
  • Office Manager is recommended to be able to create financial statements and maintain records of accounts and effectively communicate them to the leadership team.
  • Office Manager makes sure that rent, taxes, and bills, are paid on time.
  • Office Manager ensures that bill to accounts are paid to us in a timely manner and digital records are kept to track transactions.
  • Applicants must keep an organized filing system and be ready to communicate with stores information requested in a timely manner.
  • Office Manager would be able to help develop a discretionary budget for the store and ensure that it is maintained with honesty and integrity as it involves paidouts from the stores and the use of the store's credit cards.
  • Office Manager should be able to work with the leadership team to investigate possible savings advantages for the company.
  • Office Manager follows the G.A.A.P (Generally Accepted Accounting Principles) rules of accounting.
  • Applicant must be familiar with the 13 x 4-week period process of accounting
  • Recommended that Office Manager should has an understanding of Fed and State Payroll taxes and procedures.
  • Office Manager must have experience and be adept at working with P.O.S. Systems and back office P.O.S. systems.
  • Office Manager will work with Property Manager to communicate with the renters to set up auto-pay cycle timeline to ensure prompt payments.
  • Office Manager is expected to open and answer incoming mail in a timely manner and ensure that incoming mail is directed to proper leadership.
  • Applicant must be able to work with O.D.J.F.S. (Ohio Department of Job and Family Services) and have a good understanding of the procedures in place for workman comp claims, unemployment claims, child support claims, and other related issues.
  • The Office Manager works with donation requests sent to the company and ensures that donations are properly recorded and distributed to individual stores.
  • It is a perk if the applicant has a B.A. in accounting or finance.
  • Applicants with C.P.A. are taken into consideration.
  • Experience with negotiation and customer service is taken into consideration.
  • Please note that this job description is not exhaustive and additional duties may be assigned as needed.

Job Type: Full-time

Pay: $24.00 - $29.00 per hour ($44K-$50K Annual)

Expected hours: 35-40 per week
