Receiver Summary:
The Receiver is responsible for accurately receiving all shipment that is delivered to the store location, ensuring accurate inventory is being maintained. The Receiver is responsible for properly handling and submitting credit requests with all approved Lassens vendors. The Receiver must ensure products received are in good condition and, if perishable, within the correct temperature range. The Receiver is responsible for processing all invoices and Catapult purchase orders that are delivered to their location and ensures Accounting receives the correct information when processed. The Receiver must also keep the receiving area clean and organized, clear of trash and/or obstructions, and ensure shipment is expedited to the proper department in a timely manner. A Receiver may be expected to obtain extensive knowledge of Natural Foods and some basic knowledge of Nutritional Supplements including vitamins, herbs, amino acids, sports nutrition, food supplements, and health and beauty aids.- Manage and organize received goods into their store location, and load up departing goods into transportation vehicles.
- Maintains the Shipping and Receiving Log with complete data of products coming into the store.
- Takes accurate temperature checks of perishable products as they arrive at their store location and rejects shipments that are above 41° F.
- Ensures that all accepted perishable items are placed into the correct cooler immediately upon arrival.
- Rejects shipments that are damaged.
- Ensures products arriving and leaving on the Lassen's Transportation Truck are properly handled:
- All outgoing transfers have a Lassens transfer plate labeled with all required transfer information.
- Smaller transfers organized on the store’s Receiving Rack.
- All outgoing transfers are accompanied with an itemized printout of the transfer worksheet.
- All outgoing transfers are loaded onto the Lassens Transfer Truck.
- All items being received into the store are directed to the correct departments.
- All perishable items are placed in the correct cooler upon arrival.
- Receives and commits all Inventory Transfer worksheets in Catapult.
- Distributes received goods to the correct department.
- Places items in back-stock areas, as needed.
- Ensures that products are stored a minimum of 6” off the floor.
- Maintains clear walkways while storing received products.
- Locate invoices for each shipment that is delivered.
- Organize and manage all invoices and Catapult Purchase Orders.
- Organize and process all invoices and corresponding Catapult Purchase Orders according to Lassens Receiving Procedure.
- Edits Purchase Orders in Catapult accurate to how they are received making note of all short, damaged, or extra items that were received.
- Ensures that all completed invoices are filed in the correct accordion folder and transferred to the Accounting Department.
- The Receiver will call upon another Clerk or the appropriate Department Manager if assistance is needed with a shipment.
- Keeps the receiving area clean, clear, organized, and hazard free.
- All other duties assigned by management.
Computer Skills
In order to perform their job successfully, an individual must have basic computer knowledge and competency, including the ability to learn new software pertaining to our own inventory and ordering systems.
Scan Coordinator Summary:
The Scan Coordinator is responsible for maintaining accurate inventory for the store by conducting regular inventory maintenance, ensuring shelf labels are accurate, preparing, hanging and auditing sale signs, and handling all data issues regarding those items. The Scan Coordinator acts as the main communication between IT, Regional Buyers, Operations and the Store Team. The Scan Coordinator may be expected to obtain extensive knowledge of Natural Foods and some basic knowledge of Nutritional Supplements including vitamins, herbs, amino acids, sports nutrition, food supplements, and health and beauty aids.
Duties & Responsibilities:
- Price & Cost Changes: Scan Coordinators are required to work the opening shift of the Store and process price and cost changes as described in the current Price & Cost Change Worksheets procedure.
- Shelf Label Integrity: Scan Coordinators are responsible for maintaining accurate and up to date shelf labels.
- Scan Coordinators will conduct regular bay scans to ensure price and label integrity on store shelves.
- Scan Coordinators must verify that all label information, in addition to pricing is correct including: size, unit of measurement, brand name, and product description.
- A Scan Coordinator must report all Weights & Measures violations on the Data Corrections tab of the Daily News & Actions doc.
- A Scan Coordinator must verify if items are on sale, print, and hang any missing sale signs needed.
- A Scan Coordinator ensures that all end caps, side caps, stacks, displays, and register areas have Inventory Labels and proper signage.
- Monthly Price Changes (Sale Signs): Scan Coordinators are responsible for printing monthly sale signs, ensuring they are sorted by department, and delivered to the manager of that department.
- Scan Coordinator must assist departments with sale sign preparation including tearing and organizing sale signs.
- All sale signs must be organized by department then sorted into labeled and bundled groups by aisle/section.
- Sale signs for the entire store must be hung on the first business day of every month.
- On the first business day of each month, the Scan Coordinator will work the earliest possible opening shift for that location, to begin the sign hanging process. Typically these shifts will start between 4-6am depending on the store’s opening hours.
- Scan Coordinators will ensure that all end caps, side caps, stacks, displays, and register areas have Inventory Labels and proper sale signage hung. THis must be completed the first business day of each month and anytime there is a merchandising change.
- Scan Coordinators will verify sales and pricing with the Lassens AD flyer (walking the AD) and print any additional signs needed for any and all locations the products are merchandised.
- Sale Posters and AD Material: Scan Coordinators are responsible for putting up and taking down all monthly and event sale collateral. This includes signage, posters, banners, decor and all other associated collateral.
- Lassens sale posters must be hung and maintained each month. Scan Coordinators are responsible for ensuring all previous month’s sale posters have been taken down before the first business day of each month, and ensuring the current month’s sale posters have been hung before the store opens on the first business day of each month.
- The Scan Coordinator is responsible for ensuring all Lassens AD flyers are filled daily at each checkstand, high traffic areas, and any assigned locations - like the A-Frames near the front doors.
- Scan Coordinators are responsible for ensuring all expired AD copies are removed from the store prior to the first day of business of the new AD.
- Data Corrections & Urgent Weights and Measures Communications: The Scan Coordinator is responsible for entering problems with data, urgent price discrepancies, and any Not On File items (items not ringing up in our database) into the Data Corrections doc tab found on the Lassens Daily News & Actions.
- Urgent Weights and Measures directives from Lassens IT and Buying Team are to be handled immediately upon receipt.
- Weights and Measures violations (items ringing up at a different price or size that what is shown on the sale sign or label) carry with them a hefty fine, and possible criminal charges.
- Urgent Weights and Measures issues will be reported and posted to the stores on the Store Manager Daily News. Corrective actions are to be completed immediately, then signed off on the Daily News after completion.
- Inventory Maintenance: The Scan Coordinator is responsible for assisting and ensuring that all inventory maintenance procedures are met in accordance to Lassen’s policies.
- For departments with counting inventory:
- 1&0 Scans must be completed on a weekly scheduled basis.
- Negative on Hand Reports must be printed and corrected on a daily basis.
- Scan Coordinators must participate with any large inventory project beyond regular weekly maintenance.
- Scan Coordinators must be trained on and understand Lassens Receiving Procedure and its connection with inventory maintenance.
- Scan Coordinators will demonstrate proper order of operations when conducting inventory maintenance in order to maintain accuracy.
- Cleaning and Daily Maintenance: Throughout the process of inventory maintenance and tag/sign scanning for incorrect data, the Scan Coordinator is responsible for identifying and addressing any needed cleaning of shelf moldings, black shelf strips, replacing faded/stained tags/signs, dusting, etc…
- Scan Coordinator will address cleaning issues with the Department and Store Managers.
- Scan Coordinators will assist with necessary shelf cleaning responsibilities.
- The Scan Coordinator may be required to participate in the Receiving process.
