Job Summary:
The Intermediate Executive Assistant will be supporting the senior administrators of the Department of Homeland Security (DHS), Cybersecurity and Infrastructure Security Agency (CISA).
Responsibilities/Duties:

  • Provide administrative support to the senior administrators of the Department of Homeland Security (DHS) Cybersecurity and Infrastructure Security Agency (CISA).
  • Develop and implement administrative policy guidance and standard operation procedures and advise senior management on the status of programs.
  • Oversee the office daily mission support task and activities. Review, correct and create technical correspondence on behalf of the executive.
  • Prepare travel orders, briefing packages and reserve government facility meeting rooms. Schedule room/workspace reservations for CISA employees and visiting guest(s).
  • Respond to selected administrative and programmatic problems brought to the attention of IOD leadership.
  • Conduct information research, project coordination and control, data entry and other administrative duties as directed.
  • Analyze and interpret written policies and procedures and provide informed advice to senior level executive for approval and action.
  • Ensure consistency in the application of administration programs and determining areas of procedural and regulatory deficiencies and developing strategic goals for change having agency wide impact.
  • Conduct office supply inventory, document preparation, property control, information research, archival and project coordination and control.
  • Prepare a report summarizing all tasks created, received, date sent out and status of each item.
  • Continuously update and maintain an excel spread sheet showing the status of all taskers assigned, including compilations of weekly report data and location place of tasker artifacts stored on a shared drive.
  • Prepare correspondence for staffing an review correspondence for grammatical and contextual correctness/accuracy. Assist in planning and coordinating a variety of authoritative, comprehensive, complex and sensitive project studies to determine the need for and development of written policies and procedures.
  • Create, track, and close Correspondence Analyst Tasker Tracker (CATT) data calls for Associate Director’s approval. Consolidate region field operations inputs from across the country up the chain of command for review and approval.
  • Provide administrative support during the transitional and stand-up phase of Regional Operations to assist with the development of the new organizational structure for the subdivision.
  • Provide administrative support for meetings concerning Service Delivery, Skills Community and Process and Execution Branches.
  • Coordinate support for CISA customers operating under the direction of the ten regional directors.
Qualifications:
  • Desired 5 years of experience: 2 years of experience minimum
  • SharePoint knowledge and experience
  • Secret clearance desired
