Job Title: Bookkeeper/Office Manager

Location: Pharr, Texas

Job Type: Full-Time

Overview:

A growing plaintiff's civil litigation law firm is seeking a highly organized and detail-oriented Bookkeeper and Office Manager. This role is pivotal in ensuring the smooth operation of our firm by managing financial transactions, overseeing office operations, and providing executive assistance to owner. The ideal candidate will have a strong background in bookkeeping, proficiency in QuickBooks and Excel, and excellent interpersonal skills. Past managerial experience is a definite plus.

Key Responsibilities:

Bookkeeping:

  • Account Reconciliation: Regularly reconcile accounts to ensure accuracy.
  • Credit Card Statements: Review and process credit card statements, logging appropriately in Quickbooks.
  • Settlement Disbursements: Process settlement disbursements efficiently and accurately, working with paralegals and clients to ensure 5-star service and reviews.
  • IOLTA Account Management: Maintain and balance the Interest on Lawyers Trust Accounts (IOLTA).
  • Quarterly Tax Reporting: Maintaining balance sheets, profit and loss, and other reports for quarterly accounting and tax preparation.

Office Management:

  • Human Resources: Manage Human Resources functions including processing payroll, interviewing new applicants, and handling all Texas Workforce Commission issues as they may arise.
  • Executive Assistance: Act as the executive assistant to the owner, handling a variety of tasks and special projects as needed related to the law firm and its necessary growth and operations.
  • Marketing Liaison: Serve as the primary point of contact with a third-party marketing firm responsible for social media and web presence. Past personal experience with marketing on social media or otherwise is highly encouraged to apply.
  • Office Operations: Oversee daily office operations, ensuring a productive and efficient work environment. Past experience in office and/or law firm operations is highly encouraged to apply.

Additional Duties:

  • Manage office supplies and equipment.
  • Coordinate and organize office events and meetings.
  • Handle client inquiries and communications.
  • Maintain confidentiality and security of sensitive information.
  • Perform other assorted tasks as assigned by the owner.

Qualifications:

  • Education: Bachelor’s degree in accounting, finance, business administration, or a related field preferred.
  • Experience: Minimum of 3-5 years of experience in bookkeeping and office management, preferably in a legal setting.
  • Technical Skills: Proficiency in QuickBooks and Microsoft Excel. Lack of proficiency in either of these will not be considered for this role.
  • Interpersonal Skills: Strong communication skills and the ability to interact professionally with clients, staff, and external partners.
  • Organizational Skills: Exceptional organizational skills with a keen attention to detail.
  • Problem-Solving: Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
