Job Overview: As the Office Administrator, you will play a vital role in supporting our service teams, technicians, and management by handling various administrative tasks. Your exceptional organizational skills, attention to detail, and ability to multitask will contribute to the smooth operation of our office and ensure that customer service needs are met. Additionally, you will be responsible for obtaining permits for all service and installations and ensuring that all necessary approvals and inspections are completed in a timely and efficient manner. This is a full-time position with competitive compensation and benefits.

Responsibilities:

  • Greet visitors, answer incoming calls, and respond to inquiries in a friendly and professional manner, always providing exceptional customer service.
  • Assist in scheduling service appointments, coordinating with customers and technicians to ensure availability and efficient scheduling.
  • Obtain permits for all installations, including preparing and submitting all required documentation and fees to the relevant authorities.
  • Track permit statuses and ensure that all necessary inspections and approvals are completed within established timelines.
  • Communicate with project managers and installation technicians to ensure that all necessary permits and approvals are obtained prior to starting work.
  • Process and manage service requests, ensuring proper documentation, accurate data entry, and timely follow-up with customers.
  • Coordinate with technicians and service teams to track job progress, update schedules, permits and address any changes or emergencies.
  • Assist in generating and managing invoices, ensuring accuracy and timely submission to customers.
  • Collaborate with other team members and departments to ensure effective communication and a smooth workflow.
  • Assist with other administrative duties as needed.
Qualifications:
  • Previous experience in an administrative support role, preferably in a service-oriented industry.
  • Excellent organizational skills, with the ability to multitask and prioritize effectively.
  • Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Excellent communication skills, both written and verbal, with a friendly and professional demeanor.
  • Ability to work independently and collaboratively within a team, depending on project requirements.
  • Strong problem-solving skills and the ability to think on your feet.
  • Valid driver's license and reliable transportation.
