Legal Aid Bureau is Hiring a Human Resources Assistant Near Towson, MD

Maryland Legal Aid (MLA) provides life-changing civil legal assistance to eligible residents in every part of the State. MLA staff, pro bono attorneys, community partners, and general supporters all play important roles in ensuring that the legal playing field is leveled so that those most in need achieve equal access to justice. Reports To: Chief Human Resources Officer

FLSA Status: Non-Exempt

Job Summary:

The HR Assistant will perform administrative tasks and support effective and efficient operations of the organization’s human resources department. The individual will also provide general office administration support.

Duties/Responsibilities:

  • Maintain accurate and up-to-date human resource files, records, and documentation.
  • Maintain the integrity and confidentiality of human resource files and records.
  • Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Provide recruitment support, including but not limited to: job postings, maintaining recruitment records and files, submitting background checks, and other ADP recruitment tasks.
  • Answer general HR phone line and provide assistance to employees.
  • HR email box management, ensure all questions are answered in a timely manner by answering questions or directing to the appropriate sources. Maintain integrity of the HR inbox by filing messages after action taken.
  • Assist with the processing of required paperwork and data entry for new hires, employee transfers, changes in job classification, salary increases, and other related employment matters.
  • Assist with the HR side of payroll, including timekeeping, new hire paperwork, personnel action forms.
  • May assist with preparation of human resource reports.
  • Provide administrative support to the Chief Human Resources Officer (CHRO), including scheduling and organizing meetings.
  • Process incoming and outgoing mail, including logging finance mail.
  • Maintain inventory of office and kitchen supplies, prepare purchase requisitions for supplies when inventory is low, process and put away incoming supplies.
  • Office management, including facilities requests and equipment support.
  • Work on special projects and perform other duties as assigned under the direction of the CHRO.

Qualifications:

  • High school diploma or equivalent plus experience working in an office environment.
  • Prior human resources experience or an interest in this field preferred.
  • Excellent organizational skills and attention to detail.
  • Extensive knowledge of office management systems and procedures.
  • Must be reliable, self-starting, able to multi-task in a high volume, fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong customer service skills including the ability to empathize and assist employees.
  • Proficient in Microsoft Office suite and ability to learn new software.
  • Ability to maintain confidential information.

Work Environment

Work duties are typically performed in a general office setting with regular interaction via email, phone, videoconference, instant message, and in person.

Salary and Benefits

The salary range for this position is $47,000 - $55,000. In addition, MLA provides employees with a generous benefits package that includes health, dental, vision, life insurance, a 401(k)-retirement plan with employer contribution, paid vacation, sick leave and personal leave, 14 annual paid holidays, and more!
