Job DescriptionJob Overview:As a dynamic plaintiffs’ employment law firm based in Morristown, New Jersey, we are seeking an organized and client-oriented Intake Coordinator / Customer Service Representative to join our team. This role is crucial in ensuring that all client interactions are handled with professionalism and empathy, serving as the first point of contact for new clients. The successful candidate will manage initial inquiries, assess client needs, and ensure a seamless handover to the appropriate legal services within the firm.
Role & Responsibilities:
  • Greet and assist clients via phone, email, and in-person, providing an outstanding first impression of the firm.
  • Collect and organize client information, ensuring accuracy and confidentiality in all communications.
  • Assess the nature of client inquiries and act as an intermediary between the reviewing attorney and the client for follow-up questions from the reviewing attorney.
  • Schedule appointments and maintain a detailed calendar of client consultations.
  • Print and file intake forms for potential clients who are not scheduled for consultations.
  • Maintain a running tally of client intake on a daily basis to be incorporated into a monthly Excel spreadsheet.
  • Interview third party witnesses.
  • Work with clients to respond to written discovery requests in litigation.
  • Digest deposition transcripts.
Requirements:
  • Proven experience in customer service, ideally within a professional services environment.
  • Strong organizational skills and the ability to handle multiple tasks simultaneously with high attention to detail.
  • Excellent communication skills, both verbal and written, with an empathetic and professional demeanor.
  • Proficiency in office software, including Microsoft Office Suite and client management systems.
  • Ability to maintain confidentiality and exercise discretion in handling client information.
  • Flexibility to adapt to changing priorities and workload without losing focus or becoming overwhelmed.
