We are seeking a part-time Administrative Assistant to join our team. This is an on-site position located at our Bedford, MA facility. A successful candidate will be responsible for the following:
  • Assisting and supporting the Recombia leadership team, which includes people on the East and West coasts of the United States.
  • Responsible for organizing and managing executive calendars (including all meetings and travel events)
  • Arranging travel for leadership and visitors (scheduling flights, accommodations, and transportation for both domestic and international travel)
  • Communicating between executive leaderships and various stakeholders, including sending company-wide communications
  • Contributing to the preparation of various presentations and reports
  • Organizing team lunches and other events (reservations, logistics, communication)
  • Recording minutes for certain meetings
  • Managing/maintaining office supplies.
  • Store/file important documents and records
  • Maintain office and conference area organization
  • Order and organize office snacks and beverages
  • Be a liaison with our Human Resources group
Well qualified candidates will have:
  • Excellent time management skills
  • Excellent interpersonal and communication skills (verbal and written)
  • An ability to work independently and take initiative
  • Strong knowledge of Microsoft Office 365 suite
  • Ability to learn and work in a highly technical environment
  • Detail oriented with accurate data entry and organization skills
Additional Qualifications Preferred:
  • QuickBooks/Financial record keeping experience
  • Human Resource experience
