Office Manager
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure our client’s office runs efficiently and smoothly. The Office Manager will be responsible for managing administrative tasks, supporting staff, maintaining office systems, and ensuring a productive work environment. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to multitask effectively. This is a Direct Hire opportunity located in Chicago, IL.
Responsibilities:
  • Serve as the primary contact for all office needs, including facilities and technology.
  • Oversee general office maintenance, including supply stocking and equipment upkeep.
  • Manage relationships with the building landlord and various vendors, including outsourced technology services.
  • Handle new hire technology setup and conduct training on firm software products and policies.
  • Supervise technology projects and equipment requirements, including hardware and software upgrades, loaner requests, peripheral requests, and new hire computer setups.
  • Assist with technology setup for meetings and video conferences.
  • Maintain physical and electronic firm files, documenting meeting discussions and preserving records.
  • Update firm websites, including attorney biographies, news, articles, and events.
  • Occasionally assist the Firm Administrator with accounting tasks such as billing, collections, and accounts payable support.
  • Manage and reconcile firm credit card transactions, track receipts, and pay the bill monthly.
  • Enter and process firm invoices.
  • Coordinate staff and attorney interviews, prepare offer letters, process new hire paperwork, and set up new hires in firm systems.
  • Update hourly timesheets, manage PTO requests, and assist with payroll processing.
  • Order and restock office and kitchen supplies.
  • Enhance firm management reputation by taking ownership of new and varied requests, seeking opportunities to add value.
Qualifications:
  • Proven experience as an Office Manager or in a similar administrative role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
    At least 3 years within previous Office Manager role
  • Experience within a law firm is strongly preferred
  • Proficiency in office software (e.g., MS Office) and familiarity with office equipment.
  • Basic knowledge of accounting and financial principles.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving skills and attention to detail.
  • Bachelor's degree in business administration or related field preferred.
Job Details:

  • Monday-Friday
  • Pay is $65k-$75k, depending on experience
