Position Overview:

In this role, the New Patient Intake Coordinator plays a crucial part in ensuring the smooth flow of incoming client referrals, maintaining provider schedules, and facilitating communication between our clinics and clients. The Intake Coordinator will oversee insurance verification and treatment authorizations, with a primary focus on accurate data entry into our Electronic Health Record system. A successful candidate for this role should possess keen attention to detail and a comprehensive understanding of department procedures, ultimately enhancing the client experience and clinic coordination.

Key Responsibilities:

  • Process incoming patient referrals, including creating patient charts, liaising with adjusters and applicant attorneys, and establishing cases and authorized body parts.
  • Develop familiarity with the California Worker’s Comp Labor Code.
  • Accurately input data and information into designated database locations.
  • Uphold strict confidentiality regarding patients’ personal information.
  • Facilitate communication between adjusters and applicant attorneys to secure treatment authorizations from our doctors.
  • Manage the Referral Tracker system, ensuring the efficient processing and scheduling of new patients.
  • Conduct thorough analysis and verification to maintain data integrity.
  • Complete assigned tasks within specified deadlines.
  • Cultivate positive relationships with applicant attorneys and insurance adjusters.
  • Responsibly handle all calls and route inquiries to appropriate departments, including addressing attorney, adjuster, provider, or patient queries regarding patient authorizations.
  • Implement process improvements using data-driven insights and lean methodologies.
  • Document any changes made to existing processes.

Qualifications:

EDUCATION :

  • High School diploma or GED.

Requirements:

  • Customer Service: Effectively manage challenging or emotional patient situations, respond promptly to adjuster, attorney, patient, and provider needs, and meet commitments.
  • Problem Solving: Identify and resolve problems in a timely manner, adeptly gather and analyze information, and develop alternative solutions.
  • Previous experience with EMR/EHR systems is desirable.

Compensation Range:

$19.00 to $21.00 Hourly

All compensation ranges are posted based on internal equity, job requirements, experience, and geographical locations.
