Job Title: Accounts Payable (AP) Specialist

Salary: $50,000 - $60,000 per year

We are currently seeking a detail-oriented and experienced Accounts Payable (AP) Specialist to join our finance team in West Palm Beach, FL. This full-time role will be responsible for managing the company’s payables and ensuring timely and accurate processing of invoices.

Key Responsibilities:

• Invoice Processing:
• Review and verify invoices for accuracy, appropriate documentation, and approval prior to payment.
• Enter invoices into the accounting system (PayMasterPro) and ensure timely processing of payments.
• Payment Management:
• Prepare and process electronic transfers, ACH payments, and check runs.
• Monitor payment deadlines and ensure all payables are processed on time.
• Vendor Relations:
• Manage vendor accounts, including setting up new vendors, maintaining records, and handling inquiries.
• Reconcile vendor statements and resolve any discrepancies in a timely manner.
• Expense Reporting:
• Review and process employee expense reports, ensuring compliance with company policies.
• Track and reconcile corporate credit card transactions.
• Reconciliation and Reporting:
• Assist in month-end closing activities, including reconciling accounts payable transactions.
• Prepare accounts payable reports and assist with the preparation of financial statements.
• Compliance and Process Improvement:
• Ensure compliance with company policies, procedures, and accounting standards.
• Identify opportunities for process improvement within the AP function and assist in implementing solutions.

Qualifications:

• Associate’s degree in Accounting, Finance, or a related field preferred.
• Minimum of 3 years of experience in accounts payable or a similar role.
• Proficiency in PayMasterPro or similar accounting software.
• Strong knowledge of AP processes, including invoice processing, payment management, and reconciliation.
• Excellent attention to detail and strong organizational skills.
• Ability to communicate effectively with internal and external stakeholders.
• Strong problem-solving skills and the ability to manage multiple tasks in a fast-paced environment.

Preferred Qualifications:

• Familiarity with GAAP and other relevant accounting standards.
