Sales Administrative Assistant

Job Summary : We are seeking a motivated and detail-oriented Sales Administrative Assistant to support our sales team. This role is crucial in ensuring the smooth operation of the sales department by providing administrative support, managing documentation, and coordinating communications.

The ideal candidate will be organized, proactive, and possess strong communication skills to assist the sales team in achieving their goals.

Key Responsibilities :

  • Administrative Support :
  • Provide day-to-day administrative assistance to the sales team, including managing schedules, organizing meetings, and preparing sales presentations.
  • Calendar Management
  • Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
  • Maintain and update customer and sales databases, ensuring all information is accurate and current.
  • Documentation and Reporting :
  • Assist in the preparation of sales reports, proposals, contracts, and other sales-related documents.
  • Track and report on sales metrics, performance, and trends using Excel and CRM software.
  • Ensure proper filing and organization of sales documents, contracts, and agreements.
  • Customer and Sales Team Coordination :
  • Coordinate logistics for sales meetings, conferences, and events, including travel arrangements and accommodations.
  • Support the onboarding of new sales team members by organizing training materials and schedules.
  • Sales Order Processing :
  • Assist with processing sales orders, ensuring accuracy and timely entry into the system.
  • Coordinate with the finance and operations teams to ensure seamless order fulfillment and invoicing.
  • Monitor inventory levels and communicate with the sales team to manage product availability.

Qualifications :

  • Proven experience in an administrative role, preferably within a sales or customer service environment.
  • Proficiency in Microsoft Office Suite, especially Excel, Word, and PowerPoint.
  • Experience with CRM software and sales order processing systems is a plus.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
