Responsibilities:

A Day in the Life of a Director of Operations:

As a Liberty Military Housing Director of Operations you will be directly responsible for providing the highest standards of management of operations within the region. The style of management is to be consistent with the standards of Liberty Military Housing, guided by LMH policy and direction from Senior Leadership. The Liberty style of management includes the minimum characteristics described below:

Personnel Management:

  • Ability to motivate personnel.
  • Recruiting and retaining quality applicants.
  • Enhancing skills of existing employees for current and future responsibilities.
  • Assuming a leadership role in decision-making.
  • Developing and maintaining positive resident relations.
  • Objectively evaluating employees' performance, recognizing achievements and assisting employees in overcoming problem areas whenever possible.
  • Assist with Performance Management of direct reports and mentoring of the RPMs through the process.

Operations Management:

Your role is responsible for maintaining the integrity of every department that reports to you along with every community in the region. Frequent visits to the outlying offices and site offices are imperative, including the following minimum points of evaluation:

  • Regularly review market trends as it relates to occupancy.
  • Make recommendations on policy clarifications / needs both at regional and national level.
  • Ensure all contracts are bid out appropriately and timely (trash, pest, courtesy patrol, etc.)
  • Ensure policy compliance is at the forefront.
  • Ensure departments are fully staffed and are supported.

Your Responsibilities include, but not limited to:

Reports & Communication:

  • Support in the budget process, and marketing strategies.
  • Ensure communication for the region is consistent and national and regional initiatives are rolled out.
  • Communicate with Military partners as directed by Regional Vice President.
  • Direct Financial Analyst on various reports needed to analyze region performance.

Personnel:

  • Analyze and evaluate personnel needs throughout the region, including management, leasing and maintenance personnel.
  • Review/approve salary adjustments from Dept heads. Dir of Operations will approve annual reviews for the Departments that report to him/her.
  • Review and approve bi-weekly payroll and monthly or quarterly bonuses.
  • Assure continuing education of staff through seminars, meetings, and training programs.

Financial Performance Review:

  • Oversee General Management Office GMO expenses.
  • Review and inspect all capital replacement plans in the region, ensure all are within the scope of the Asset Business Plan and/or the budget. Communicate with RVP for appropriate approvals as necessary.
  • Review and appraise every detail of the monthly Cash Flow Operating Reports, analyze areas for increasing income and reducing costs. Communicate major deviations in writing to Regional Vice President.

Liability Management:

  • Assist with LMH policy compliance to limit liability exposure by arranging for proper training and ongoing education for on-site personnel.
  • Assure adherence to government regulation and LMH policy regarding sensitive issues including Fair Housing, Equal Employment Opportunity, Americans with Disabilities Act and Occupational Safety and Health Act (OSHA).

Business Management:

  • Prepare an annual asset business plan and budget, with input and approval from Regional Vice President and Asset Manager.
  • Analyze monthly performance and budget projections to actual business plan and adjust operating strategy accordingly.
  • Stay abreast of market conditions and communicate to Regional Vice President.
  • Monitor rent variations in accordance with the Asset Business Plan and/or management contract.
  • Maintain market intelligence for each area of the region where a community is located.
  • Monitor status of computer management systems and assure proper employee training.
  • Supervise, monitor, and assist with Request for Proposal (RFP) preparation.
  • Prepare and review operations contracts. Submit contracts to RVP for approval.

Accountability:

  • Collections of 99% on all stabilized assets.
  • Meet and exceed submarket occupancy.
  • Meet and exceed rents of comparable communities in submarket.
  • Maintain acceptable turnover and resident retention performance.
  • Achieve goals of Asset Business Plan: collection of revenues, operate within budget forecast, communicate all variances to Regional Vice President and Asset Manager.
  • Effectively recruit, train, motivate and assess personnel.
  • Assure client satisfaction for Military Partners and Asset Managers.
  • Keep abreast of legislation.
  • Prepare reports to Regional Vice President and Asset Manager on consistent and timely basis.
Qualifications:

What You Need for Success:

The following are minimum pre-requisites to be considered for the position of Director of Operations:

  • Experience in on-site property management
  • Experience in overseeing a minimum of 1500 units
  • Experience in supervising staff of 30 employees
  • Proficiency in math
  • Experience with Yardi software preferred
  • Proficiency in verbal/written communication
  • College degree preferred
  • Valid drivers license and vehicle
  • Proficiency in computer and project management software
  • Certification/designation (or willingness to achieve certification/designation) from real estate associations, such as Institute of Real Estate Management or the National Apartment Association
