Position Summary: Provides clerical and secretarial support to the Nursing Management Team. Facilitates the Department of Nursing staffing of the hospital and long term care departments by utilizing and identifying available nursing resources, under the direction of Nursing Management, based upon unit needs and staff/census fluctuations to maintain cost-effective staffing patterns. Supports Nursing Management in maintaining accurate demographic, skill, and scheduling information on all nursing employees in a computerized scheduling system. Essential Functions:
Scheduling
Optimizes the scheduling of daily staff, PRN, and agency personnel to meet established staffing guidelines.
Reviews daily staffing guidelines for the Department of Nursing, in concert with Nursing Management, identifying staffing deficits or overages and initiating corrective actions.
Responds proactively to secure appropriate replacement staff for call-outs.
Assesses staffing needs a minimum of four weeks prior to all holidays taking appropriate actions.
Notifies Nurse Manager when all efforts to secure staffing have been exhausted without success.
Accuracy
Maintains and updates the computerized scheduling system ensuring accuracy of all information.
Inputs nursing schedules as directed by Nursing Management.
Inputs nursing guideline data changes on a daily basis.
Updates unit schedules including full-time/part-time staff, PRN, agency and new hires.
Updates job classification, personnel information, and terminations into the computerized scheduling system as directed by the Clinical Leader or designee.
Generates staff/scheduling reports as requested by the Clinical Leader or designee.
Completes system back up, system update, and system rollover appropriately.
Staffing Office Coord
Coordinates and oversees the daily functions of the nursing unit to ensure the unit is staffed, daily tasks are completed, and data is appropriately filed/recorded.
Qualifications/Requirements Entry level knowledge; basic employment skills; High School diploma: GED equivalent or High School certificate Experience: 1-3 years
