**Description**

LifeWorks of Austin is looking to hire a Front Desk - Administrative Assistant at our East Office. This role supports both the agency and various programs by managing the client flow. This is achieved by use of multiple means of communication including hard/softphones, email, instant messaging, and video conferencing. Successful Administrative Assistants are effective communicators who are organized, personable and welcoming when interacting with staff and clients. Ultimately, this person should ensure the efficient and smooth day-to-day operation of our office.

**Schedule (FULL TIME): Monday Thursday 11:30 am 8:30 pm AND Friday 8 am 5 pm**

**RESPONSIBILITIES**

* Answers and assesses incoming calls for crisis and/or program service requests to route appropriately.

* Delivers high customer service skills consistently when greeting and assisting clients and visitors while also assessing for crisis and/or program service requests.

* Verifies and creates data base records.

* Maintains check-in and check-out process for programs that offer scheduled client appointments.

* Performs daily data entry into external state database to maintain compliance with program contract requirements.

* Receives and posts payments to the appropriate client records.

* Maintains and archives digital and hardcopy client service files.

* Sorts and distributes all incoming LifeWorks mail on a daily basis.

* Reviews and confirms end of shift payment transactions to complete cash daily transmittals.

* Follows open and closing procedures as scheduled.

* Attends weekly shift check-in meetings and incorporate updates to shift process.

* Other duties as assigned.

**QUALIFICATIONS**

EDUCATION AND EXPERIENCE

* Requires a high school diploma or equivalent;

* Requires 2 years of related administrative experience; or

* Equivalent combination of education and experience.

* Must be bilingual in Spanish

* Proficient in Microsoft Office including Excel, Word, Outlook, and SharePoint.

CERTIFICATES, LICENSES, REGISTRATIONS

* Notary preferred.

**PHYSICAL/ENVIRONMENTAL REQUIREMENTS**

* Frequently required to sit or stand, use manual dexterity, speak, listen, hear, and write.

* Works in an office environment with little or occasional light physical effort, and low noise.

* May be required lift and/or move up to 25 pounds.

* Works on a computer, requiring the ability to view a monitor for long periods of time.
