We are seeking a talented and highly motivated Business Partner Executive Assistant who has a demonstrated ability to provide top notch operational and administrative support to primarily the CEO, CFO, and COO. Our ideal candidate is a team player who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, resourceful, and efficient. You exercise sound judgment in a variety of situations, have strong written and verbal communication skills, impeccable organization and attention to detail, and the ability to maintain balance among competing priorities.
Responsibilities:
      Board Meeting Support:
    • Schedule board meetings and organize materials in collaboration with the executive team.
    • Coordinate with management and investor for monthly and quarterly meeting scheduling.
    • Work internally to schedule management meetings and reviews to ensure deliverables meet board distribution deadlines.
    • Material Preparation:
    • Gather materials from the senior management team, compile slides, and assist in slide creation.
    • Reformat slides as necessary to ensure clarity and professionalism.
    • Running Slides:
    • Operate slide presentations during meetings, ensuring smooth transitions and addressing any technical issues that arise.
    • Internal Management Meetings:
    • Assist in scheduling internal Executive Leadership Team meetings, ensuring timely preparation of materials.
    • Provide support during meetings, including note-taking and follow-up on key action items.
    • Deadline Management:
    • Assist executive management in ensuring deadlines are met by sending reminders to team members about material due dates and other important deadlines.
    • Travel and Expenses:
    • Manage executive travel bookings and accommodations.
    • Handle expense reporting for executives, ensuring accuracy and timeliness.
    • Company Retreats and Offsites:
    • Coordinate company and executive retreats/offsites, including booking, scheduling, and managing agenda items.
    • Ensure smooth execution of events to maximize productivity and team cohesion.
    • Flexibility:
    • Understand that the role may require occasional work outside of regular business hours, including nights and weekends, to meet deadlines and support executive needs.
    • Proven experience as an executive assistant or similar role, preferably supporting C-suite executives.
    • Exceptional organizational and time-management skills, with the ability to prioritize tasks efficiently.
    • Excellent communication and interpersonal abilities, with a professional demeanor.
    • Proficiency in Microsoft Office Suite and other relevant software.
    • Ability to handle confidential information with discretion.
    • Flexibility and willingness to work outside of standard business hours when necessary.
    • Bachelor's degree or equivalent experience preferred.
$70,000 - $80,000 a year
