LIGHTFEATHER IO LLC is Hiring an Entry Level Business Operations & Proposal Analyst Near Alexandria, VA

LightFeather is seeking 2-3 Entry Level Business Operations & Proposal Analysts to join our dynamic team. This role demands keen attention to detail, excellent organizational and communication skills, and a proactive attitude towards contributing to the success of our proposal and business operations processes. This position is ideal for recent graduates or individuals with limited experience looking to develop their skills in a fast-paced, professional environment.

This Position is Full Time, Remote.

Key Responsibilities:

  • Proposal and RFI Management:
    • Respond to RFIs following our process, including reviewing DRAFT RFQs and RFIs.
    • Complete checklists, analyze documents, and formulate well-formatted, organized, and well-written RFI responses.
    • Build and maintain a proposal schedule for new opportunities, following Shipley proposal processes.
    • Send out calendar invites to all participants for proposal schedules.
  • Opportunity Assessment:
    • Review Ebuy for potential opportunities, assess viability, and populate the RFQ/RFP pipeline with matching opportunities.
    • Check Ebuy and GovWin daily for opportunity updates, update the pipeline, and send Slack notifications with any updates.
  • Document and Compliance Management:
    • Manage TA and NDA documents, ensuring signatures are captured and negotiations and comments are documented.
    • Follow up with partners until final signatures are obtained and update the TA/NDA Tracker system daily.
    • Conduct research to validate subcontractor compliance data, ensuring accuracy and compliance with laws, regulations, and LightFeather guidance.
    • Create data call emails, track correspondence, and provide daily status updates to leadership.
  • Account and Timesheet Management:
    • Review and update state, city, and locality accounts monthly to ensure data accuracy and compliance with reporting or payment deadlines.
    • Provide monthly reports on the status of all accounts, investigating and resolving any discrepancies.
    • Review and scan mail correspondence, filing paperwork appropriately.
    • Ensure QuickBooks timesheets match customer timesheet reports and ensure proper completion of employee timesheets every pay period.
    • Send out reminders, Slack messages, or make phone calls to ensure timesheets are completed on time and accurately.
    • Manage daily, weekly, and monthly tasks, sending reminders to ensure timely completion.
  • Meeting and Schedule Coordination:
    • Coordinate leadership schedules, sending meeting reminders and notifying parties of any delays.
    • Take accurate and organized meeting minutes, documenting key discussions and decisions.
    • Coordinate meetings and follow-up calls as requested by management.
  • Research and Reporting:
    • Conduct detailed research and analysis of potential tools or capabilities, providing analysis based on predefined metrics.
    • Populate and complete Program Management Review (PMR), Weekly Status Reports, Daily Status Reports, and training briefs using LightFeather templates.
    • Document processes and procedures in training or Standard Operating Procedure (SOP) documents.
    • Conduct monthly calls with customers to independently evaluate the quality of service on contracts.
  • Data Organization and Inventory Management:
    • Organize Google Drives, ensuring data is valid, up-to-date, and properly archived.
    • Maintain an inventory of all Government Furnished Property (GFP), conducting quarterly checks to verify accuracy.

Required Qualifications and Skills:

  • US Citizenship.
  • Bachelor’s degree in Business, Communications, or a related field.
  • Minimum GPA of 3.6. Applicants must provide a screenshot of their final GPA and Diploma as part of their application.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Knowledge in data analysis tools and software (e.g., Excel, SQL, Python).
  • Knowledge of AI tools and technologies for process automation.
  • Excellent written and verbal communication skills, with a keen eye for detail and strong research capabilities.
  • Strong organizational and time management skills.
  • Ability to manage multiple tasks, work under pressure, and collaborate effectively with diverse teams.

Preferred:

  • Internship or some work experience collaborating directly with C-level executives.
  • Experience in proposal development, or a similar environment.
  • Knowledge of compliance and regulatory requirements.
