DefinitionUnder immediate to general supervision, assist in preparation and operation of daily med clinics for team of prescribers. The clinic Administrative Assistant, Secretary II, or other assigned Director supervises this position.
Education And Experience
  • Licensed Practical Nurse in the State of Oklahoma
  • High School diploma or GED or any equivalent competency.
  • Microsoft Office: 1 year (Required)
  • Customer Service: 2 years (Required)
  • Medical Experience preferred
Knowledge And Skills
  • Ability to collaborate/communicate with integrated care teams, consumers, physicians, and pharmacy staff to secure successful outcomes.
  • Ability to work effectively and courteously with people from various cultures and backgrounds, and to exercise good professional judgment.
  • Fluent in working within electronic medical records: entering, uploading, and reviewing documentation. Scheduling consumers for return medical appointments within the electronic medical record scheduler.
  • Ability to communicate effectively, orally and written.
  • Must be able to type, alphabetize, and demonstrate proficiency in general business correspondence.
  • Able to follow oral and written instructions.
  • Knowledge of telephone procedures, of spelling, punctuation, and grammar, of basic arithmetic, and of standard business letter forms.
  • Able to operate office machines (computers, calculator, fax, copiers, postage meter, scanner)
Job Duties And ResponsibilitiesThis position is responsible and held accountable for the following duties:
Med Clinic
  • Assist in preparing charts for med clinic appointments; ensuring that any labs, hospital discharge records or other documentation is uploaded in the consumer’s file and alert the prescriber of location in the chart for their review.
  • Obtain vitals, communicate with prescribers of consumer’s arrival, seat consumers in exam room
  • Act as Liaison between consumer, clinician, prescriber, pharmacy, and PCP. Gather and distribute information to identified staff in a timely and accurate manner.
  • Complete Medication Prior Authorization forms for all clinic sites. Assist in creating and maintaining spreadsheets to track prior authorizations from date received to date of approval and document that consumer is contacted that medication may now be picked up.
  • Act as back-up to Nurse Care Manager (in extended absence or emergency situations) to perform skills within the scope of licensure under direction/advisement of a supervisor such as: interpret consumers abnormal lab results, alert prescriber, document and respond as instructed/requested by prescriber; administer emergency medications as ordered by prescriber in medical emergency situations; assess medical incidences that occur within the office; administer and document client injections in absence of phlebotomist and Nurse Care Manager.
  • Follow up with missed appointments to encourage treatment compliance and continuity of care.
  • Ensure that med clinic schedule is kept “on time.” Consumers are checked in, vitals taken and logged into the electronic medical record; seated in the exam room when the prescriber is ready to see them. Monitor chats, texts and emails received during med clinic from prescribers to ensure we are responding to their requests, questions, or emergencies in a timely manner.
  • Enter the required agency documentation in a thorough, accurate and timely manner.
Receptionist Duties
  • Answer and direct phone calls and messages through the clinic. Greet and assist the consumer with paperwork and appointment check-in.
  • Direct all consumers in the waiting room and throughout the clinic.
  • Make reminder calls to assist with consumer compliance of appointments
  • Request and gather financial documents and upload them into the Electronic Health Record.
  • Manage efficient scheduling protocols and schedule appointments for all clinic providers based upon the agency workflows and provider requests.
  • Assist front desk navigators in maintaining current and accurate EHR for each client ensuring that all documentation is uploaded into client file by end of workday.
Attendance
  • Regular and predictable attendance is an essential job requirement.
  • Must meet “satisfactory” expectations at any scheduled job performance evaluation, coaching and/or Performance Improvement Plans.
Training
  • Assessment and appraisal of quality of work will be evaluated through training, skill, chart review or special purpose.
  • Must complete Lighthouse required training and resulting follow up and consultation as required at hire, annually and as directed by Supervisor.
  • Cross train with all other support staff to ensure uninterrupted workflow in the event of absences

  • Performs other related duties as assigned by the immediate supervisor or other management as requested.

  • In addition, must possess excellent Teamwork/Communication skills, work cooperatively and effectively with clients, staff, management, and other professional and community groups.

  • Utilize trauma informed care approach and exercise mature judgment in dealing with people; in presenting ideas clearly and accurately; in reading and comprehending the English language; and in communicating effectively, both orally and in writing.
  • Serve as a role model for wellness behaviors
