What are the responsibilities and job description for the Intake and Administrative Coordinator position at Lighthouse Child & Family Services?
Lighthouse Child & Family Services (LCFS) is seeking a highly motivated, organized, and detail-oriented Intake and Administrative Coordinator (IAC) to join our Operations department and provide support to the School-Linked Behavioral Health (SLBH) Program Director and staff.

What You’ll Be Doing
Intake & Referral Management:
- Process and track client referrals/intakes and schedule appointments for SLBH program staff across various schools and districts
- Communicate effectively with internal and external contacts
- Manage caseloads, waitlists, and ensure records are accurate
Support the SLBH Program Director:
- Assist the Program Director with calendar management, including scheduling meetings, team events, and school personnel meetups
- Attend meetings and take detailed notes; track action items and follow up as necessary
- Ensure new hires and existing staff stay on track with training requirements
- Help with ordering supplies and oversee inventory for the SLBH department
Data Collection & Management:
- Manage SLBH/ECMH grant forms, ensuring accuracy and timely completion
- Work with staff on internal errors, track updates and ensure smooth processing
- Assist in program data surveys sent/received from schools and organize the data in Excel for program evaluation/review
Creative & Outreach Support:
- Monitor school district social media pages and school websites; work with LCFS social media staff to promote community events for school partners
- Use Canva to draft monthly SLBH newsletters
- Represent LCFS at open houses and other school-sponsored events as needed
Other Responsibilities:
- Cross-train duties with other Operations staff to ensure seamless coverage during absences
- Other administrative duties to assist the SLBH department as needed
What We’re Looking For
Skills & Abilities:
- Strong organizational, administrative, and communication skills
- Ability to multitask and stay cool under pressure
- Proficient in Microsoft Office products such as Teams, Excel, Outlook, etc.
- Competent understanding of modern technologies and troubleshooting issues/errors
- Experience with Canva or similar design tools is a plus
Education & Experience
- High school diploma or equivalent required
- 2 years of administrative experience in an office setting required (preferably in a mental health or medical setting)
- A reliable car, driver’s license, valid auto insurance, and an acceptable driving record
- Ability to pass a criminal background check that may include fingerprinting and photo identification
Work Schedule & Setting
- Full-time (40 hours/week), Monday through Friday
- Potential for a hybrid (work from home) setting after training is complete
- Working at least one day per week in-person from our Cambridge office is required.
- Occasional travel to other LCFS locations or schools for in-person meetings and events is required.
