POSITION SUMMARY/OBJECTIVE:

The incumbent serves as an executive administrator to the CEO and senior leadership team, providing a full suite of support services to ensure organizational effectiveness and efficiency.

KEY TASKS & RESPONSIBILITIES:

  • Schedules and prioritizes appointments and meetings to maximize CEO and senior leadership team engagement, and ensure the achievement of organizational goals.
  • Advises CEO and senior leadership team regularly on schedule and works closely to balance the organizational priorities and executive availability.
  • Drafts correspondence, recommendations, reports, and communications related to issues on behalf of the CEO.
  • Manages and supports the CEO and senior leadership team in preparing for critical meetings, including correspondence and preparing materials.
  • Arranges the CEO and senior leadership team's extensive travel, processes travel expense reports, and prepares required documentation, entry requirements, trip portfolios, advances, etc.
  • Partners with cross-functional teams across the business to ensure assigned priorities are met.
  • Engages directly with the Board of Directors on key meetings and communication with the CEO and senior leadership team.
  • Manages the Executive Office budget, which also includes company-wide events.
  • Schedules and supports critical company events, both in person and virtually. Coordinates and plans meetings and events, including leadership, and team engagements, taking the lead to support and plan initiatives that foster a positive organizational culture.
  • Manages office supplies, purchases supplies and equipment when needed, and maintains executive global email addresses.
  • Plans logistics for critical company-wide events such as training programs, offsites and board meetings.

WORK ENVIRONMENT:

  • This position operates primarily in an office environment, and routinely utilizes standard office equipment, such as computers, phones, copiers, printers, and filing cabinets.

PHYSICAL DEMANDS:

  • In performing the duties of this job, the incumbent is regularly required to talk, hear, perform repetitive motion, and possess an appropriate degree of both visual acuity and manual dexterity.
  • This is considered a light work position, which means possible exertion of up to twenty (20) pounds of force occasionally, and/or up to ten (10) pounds of force frequently, and/or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects.

TRAVEL:

  • Must be willing and able to travel as business needs dictate, estimated at 10% or less.

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent.
  • 7 years of related experience.
  • Computer proficiency in Google and Microsoft services suites.
  • Demonstrated ability to juggle multiple priorities and deliver outcomes through strong ownership and execution.
  • Strong time management, organizational, and interpersonal skills.
  • Clear tendency for action and speed of response time, moving with urgency on time sensitive priorities.
  • Demonstrated ability to communicate effectively with all levels of an organization.
  • Ability to handle a wide range of administrative/executive support-related tasks with limited supervision.
  • Ability to use discretion, confidentiality, and good judgment to handle sensitive matters.
  • Must have a flexible schedule, as some time sensitive items may be outside of normal business hours.

PREFERRED QUALIFICATIONS:

  • Prior experience as an executive administrator for a CEO or C-Suite Officer.
  • Demonstrated ability to work cross-functionally to achieve team outcomes.
