Proposal & Sales Support Specialist – Government BidsReporting to the Director, Category Sales, the Proposal & Sales Support Specialist is responsible for researching and tracking bid opportunities while coordinating and leading the development and delivery of bids to support the TotalCare Sales Team. Our ideal candidate will be a self-starter who can assume responsibility for all aspects of bid design and development, including proactive searches of bid opportunities, gathering and organizing bid content, and writing and editing bids.

Essential Functions
  • Support the TotalCare Sales Team by researching and pursuing bid opportunities in target markets. Monitor and navigate various procurement websites to find relevant information leading to opportunity recognition. Understand how to utilize the tools offered by each website to highlight current and future opportunities.
  • Develop and manage comprehensive bids for municipalities, ensuring alignment with their objectives and requirements. Analyze RFQs, RFPs and RFIs to create bid outlines and development plans.
  • Track and manage bid timelines and deadlines for current and future bid opportunities.
  • Comprehensive use of Salesforce (CRM) to track and manage all contacts, customers, and opportunities.
  • Conduct research on potential clients, competition, industry trends, and projects to support business development efforts and bid customization.
  • Collaborate with cross-functional teams, including sales and category teams, legal, finance, HR, marketing, technical experts, and senior management, to gather information and develop bid content.
  • Edit, proofread, and format bid documents to ensure clarity, compliance, and professionalism. Consolidate text in bids from multiple writers and editing using 'one voice' techniques.
  • Create and provide status reports to TotalCare team.
  • Create and enhance the bid library, ensuring that all past bids, templates, and related documents are organized and easily accessible for future use.
  • Monitor and analyze feedback from clients and bids to enhance future submissions and strategies.
  • Ensure all bids meet company standards and client expectations, including branding, formatting, and content quality.
  • Assist TotalCare Sales with quotes and administrative tasks as needed.
  • Other duties as assigned.
Education & Experience
  • Bachelor’s degree in Marketing, Communications, Business, or a related field is preferred but will accept relative industry experience in lieu of degree.
  • 2 years of experience in a similar role.
  • Strong working knowledge of Microsoft Office and CRM software (Salesforce).
  • Experience with government bid websites such as Govly.com, BidNet Direct, FindRFP.com, and BidPrime.
  • Experience with project management software such as Monday.com, Wrike, Trello, Smartsheet, basecamp, Microsoft Project, Slack etc. considered an asset.
  • Knowledge of Firefighter PPE and/or NFPA regulations considered a huge asset.
  • Ability to work in a fast-paced, time-sensitive environment and to meet all deadlines.
  • Strong writing, proofreading, and desktop editing skills, checking for clarity and consistency in grammar and style.
  • Strong analytical and problem-solving skills.
  • Strong communication skills, both verbal and written.
  • Excellent interpersonal skills and customer relations skills.
  • Ability to interact positively with employees at all levels of the organization.
  • Ability to manage multiple projects and gather information from others.
  • Positive attitude and demonstrated ability to work well with a team.
  • Self-motivated and organized.
PHYSICAL DEMANDS AND WORKING CONDITIONS
  • Highly flexible and able to react constructively and with a positive attitude to multiple demands, shifting priorities, change and unexpected events.
  • Hearing and vision required to be within normal ranges with or without correction
  • May be required at times to perform light lifting and carrying (30 lbs) and up to 8 hours a day on standing/walking/ driving.
  • Required to operate traditional office equipment including computers, copiers, telephones.
